L'application Zoho Sign peut vous permettre de signer électroniquement tout type de documents, qu'ils soient sous format pdf, word ou autre. Les cas d'usages sont nombreux, l'application s'intègre parfaitement avec Zoho CRM et avec Zoho Books pour vous offrir des possibilités de signature de vos devis et documents contractuels rapides, avec une expérience utilisateur fluide et une traçabilité complète.

- Le cas des documents contractuels:
Souvent ce type de documents est réalisé sous format Word, ils contiennent des variables, que vous remplissiez jusqu'ici à la main, puis il faut convertir en pdf, adresser au destinataire, pour qu'il imprime, parfois complète, puis signe enfin de document, après quoi il doit à nouveau le scanner pour vous le retourner. Autant dire que c'est un processus assez peu souhaitable dans un échange commercial ou l'on a besoin de fluidité afin d'améliorer la satisfaction client, mais aussi raccourcir le cycle de vente.
Grâce à Zoho Sign, il est possible de digitaliser a 100% ce process, et cela ne présente même pas une grande complexité, sauf si votre document papier est lui-même complexe mais rien n'est impossible même dans ce cas. Vous allez donc pouvoir réaliser un copier-coller de votre modèle de contrat dans l'éditeur de Zoho, y insérer les emplacements de signature, paraphe, date , ou tout autre mention que le destinataire devra remplir. En parallèle, toutes les variables pouvant être extraites de Zoho seront insérées via des balises de fusion.

En quelques clics vous pourrez en partant de l'une de vos fiches contacts dans CRM (ou du module Affaires) réaliser la fusion du document pour insérer les variables et l'envoyer par email au destinataire via Zoho Sign.
Le cas des devis:
Concernant les devis réalisés dans Zoho Books, l'intégration native avec Zoho Sign permet d'activer en quelques clics la fonctionnalité qui fera apparaître en bas de devis un espace de signature électronique accessible à votre destinataire.

Si vous réalisez vos devis en dehors de Zoho, il vous suffira d'attacher le document PDF à la fiche du client, puis de déclencher l'envoi via Zoho Sign qui vous permettra de positionner manuellement l'emplacement de signature, la date, une mention "bon pour accord" ou même un emplacement pour le tampon de l'entreprise.
Le statut du document ainsi que sa copie une fois signée et le certificat de signature seront visibles dans la fiche CRM de votre client.
- Le cas des modèles de documents dans Zoho Sign
Pour les documents ne contenant pas de variables, ou n'étant pas généré par Zoho, comme par exemple des CGV, ou des annexes que vous associez automatiquement à vos contrats, vous avez la possibilité de les insérer comme modèle directement dans Zoho Sign, ce qui vous permet de positionner une fois pour toute les emplacement de signature, date ou tout autre champ souhaité. Lors de l'envoi à tout destinataire depuis votre CRM, que ce soit seul ou associé à d'autres documents comme un devis, vous aurez simplement à adjoindre ce modèle Zoho Sign pour qu'il soit adressé au destinataire prêt à signer.

Il ne peut par exemple pas accéder aux champs destinés au 2eme signataire s'il y en a un. S'il n'était pas le bon interlocuteur, il a également la possibilité de transférer le document au bon signataire. Dès qu'il a terminé sa signature, il a la possibilité de télécharger immédiatement sa copie du document, mais il va aussi recevoir un email lui proposant de la télécharger.
