Tip #22 : Reusing 'Available Fields' in Layouts


Tasks are the fundamental blocks which build your project. Creating similar set of tasks every time you add a new project might chow down your productive time. Our customizable task layout feature lets you cut short such recursive activities by reusing the already used fields. 

Let's gain a better insight by considering Liz's business operations.

Liz owns an interior design company. She gets a new order to remodel a play school. Liz creates a new task under the 'Play school remodel' project and assigns it to a designer. The task must hold necessary fields like  furniture pick, budget, color scheme  etc. Finally when the design is complete, it is reviewed by an  approver  who checks the feasibility.

If Liz gets her next design order from a restaurant, she will have to create another new project. The tasks under this project will hold similar design details as the previous one. She might probably want to reuse some of the previously used fields like  furniture, budget  etc.


Creating new task layouts with similar fields will be a recurring job for Liz. For such scenarios, we have populated all the previously used fields under 'Available Fields' section which can be dragged in and reused whenever required. 

When is a field added to the 'Available Fields' section?

The custom fields used in previous layouts are present under Available Fields section of the current layout. Also, when a custom field is removed from the current layout it jumps to the Available Fields section. Learn how to  access available fields   in Zoho Projects.

I don't see any fields under the 'Available Fields' section. What does this mean?

If there are no fields under the Available Fields section, you might have either used up all the fields in your current layout or you might have not added new fields in your previous layouts. Learn more on  adding fields  here.

Is this feature restricted to any specific user or plan?

Yes, this feature is available only for the portal owner, admin and manager in our Enterprise plan.
