Feature enhancement: Highlight rows based on a cell value

Hello Sheet users,

We're excited to announce a new feature enhacement, shaped directly by your valuable feedback!

As you might know, conditional formatting is a great tool for anyone dealing with large data sets. Previously, if you’ve ever wanted to draw attention to a single row in your spreadsheet that meets specific criteria, you had to use a formula.

But now?

It's possible with just a click. Whether you want to identify errors, underperforming metrics, blank entries, duplicate values, or match specific text values becomes easier with this new addition.  


How do you do this:
  1. Select the dataset you want to apply the formatting to.

  2. Go to Format > Conditional Formatting.

  3. Select rule type as Classic.

  4. Select the appropriate rule type and enter the value.

  5. Check the Apply to row option.

  6. Select the column where you want to apply this rule. Click Apply.



Some real-world examples where you can apply this feature:

Use case 1:

You’re tracking project tasks in Zoho Sheet, and you want to visually differentiate tasks based on their status (e.g., "Completed," "In Progress," "Overdue"). Rows will be highlighted in specific colours depending on the status.

Use case 2:

You are managing a product inventory spreadsheet, and you want to highlight rows based on the stock level:

  1. Items with stock below 10 are highlighted in red (critical level).

  2. Items with stock between 10 and 20 are highlighted in yellow (low stock).

  3. Items with stock above 20 are highlighted in green (sufficient stock).

Use case 3:

You have run a market research survey and you want to spot invalid responses:

  1. No responses to required questions are highlighted in red

  2. Out of range values indicating invalid responses are highlighted in yellow.

What's next 

We'll extend this feature to support two or more columns in the future update. Currently, you can do it by applying a formula. Visit this help link to learn more.
