Keep your CRM data accurate with Validation Rules

Hello folks, 

Last month, we saw a bunch of new features that got rolled out during the Zoho CRM 2018 Release. Today let's take a closer look at one of them called Validation Rules. 

Poorly maintained CRM data can result in ineffective business processes and inaccurate reports. The key to running a smooth business it to maintain a clean CRM system. That in turn needs you to validate the data that goes into the system. But imagine, if you have to sit and validate every piece of information added into your system manually, on a daily basis, you wouldn't be able to do anything else. 

Well, it is easier said than done!

Validation rules in Zoho CRM will help you overcome this problem by arresting the wrong kind of data even before it can enter the CRM. Let's look at an example. 

Zylker Inc. is a sales organization which sells multiple products B2B. They have different sales reps working on each of their products spread across various cities. They find it very difficult to streamline the data that gets added for all these products from multiple reps. The inconsistency in their data entry not only brings confusion in their business process, but also results in incomplete reports and poor profits. 

For example, the management has asked the sales reps to stick to a discount of 15% for all orders and to give a discount of 20% only for those deals whose order value is more that $50,000. In spite of clearly communicating these discount rules, sales reps still go ahead and specify inappropriate discount values. 

Zylker Inc. can now create a validation rule to keep a check on the discount value that is entered in their system. 


Whenever a field value in a record matches the above criteria, the system intervenes and will not allow the record to be saved. It will show an error message, which can also be customized while creating the validation rule. 


This is just an example of how you can validate the value that is entered for a field. Similarly, validation rules can also be used for checking the character limit, string starting with, string ending with, string contains, checking whether the field is empty, etc.
