1. In a nutshell

Users can be effectively managed by performing the following actions:
  1. View assigned event types
  2. Modify user's event types
  3. Manage user's availability
  4. Set unique prices for specific users
  5. Manage user integrations
  6. Share booking page with pre-selected user and event type

    1. Super admins and admins can manage all users
    2. Workspace admins can manage users of their assigned workspace
    3. Managers can view users of their assigned workspaces
    4. Staff will not have access to it 

3. Manage users

3.1 View assigned event types

Admins can view the list of event types assigned to a user. Workspace admins and managers can only view the users belonging to their workspace.

To view:
  1. Click Users on the left sidebar of Bookings. The users added in the selected workspace will be listed. 
  2. Choose the required user and select the Assigned Event Types tab. You can view the events list that the user is assigned to. 

    

3.2 Modify user event types 

Admins can modify the event types assigned to a user. Workspace admins can only change the event types of the users in their workspace. In this section, they can also remove the assigned events or assign new ones.

To edit the assigned events:
  1. Click Users on the left sidebar of Bookings. The users added in the selected workspace will be listed.
  2. Click the required user and select the Assigned event types tab. You can view the events list assigned to the user. 
  3. To remove an assigned event type for the user, hover over the required event and click Remove.

  4. To assign another event type, click the + Assign button to the right of the required user. A pop-up will appear, listing the unassigned event types of the current workspace. Select the checkboxes of event types to assign the user, then click Assign
    You can click Select All to assign all the event types.

     

3.3 Manage user availability

Admins and workspace admins can define or modify a user’s availability by managing their Default hours, Custom schedules, and Date overrides. They can update a user’s default hours, view the working hours assigned through user-specific hours for event types, and add date overrides to extend availability temporarily or block time for specific dates. Managers can view users’ availability but cannot make any changes.

To edit users' availability:
  1. Click Users from the left sidebar in Zoho Bookings. All users in the selected workspace will be listed. Select the required user and open the Availability tab.



  2. You can view or modify the user’s availability using the following options:

    1. Default Hours: Click Customize to set or update the user’s default hours. Choose the required time zone, date range, and working hours for each day, then click Save.



    2. Custom Schedules: View the working hours assigned through user-specific hours for the event types here.



    3. Date Overrides: Click Add to temporarily add availability or block time for specific dates or date ranges, such as holidays or any extended hours.

     

3.4 Set unique prices for specific users

Admins can set custom prices for specific users for the same event type. For example, an optometrist's office might offer a comprehensive eye test performed by both junior and senior doctors. Each doctor may charge differently based on their level of expertise. To implement this in Bookings, you can set a different price for each user for the same event type. 

To customize the price for each user:
  1. Click Users on the left sidebar of Bookings. The users added in the selected workspace will be listed. 
  2. Choose the required user and select the Assigned event types tab, hover over the required event type, then click Customize Price

  3. Under the Price column, enter the unique price of the user for the selected event type and click Save. Now, when the customer books the event with this specific user, they will be asked to pay the custom price set. 



    To revert it to the default price, you can click the Revert option, as shown in the below screen. Custom price can be updated by clicking the Change option.

3.5 Manage user integrations

Admins and workspace admins can perform the integration on behalf of a user under the Users > Integrations section. They can also reauthorize or disable an integration if needed for a user. 

To manage integrations of a user:
  1. Click Users on the left sidebar of Bookings. The users added in the selected workspace will be listed. 
  2. Choose the required user, then select the Integrations tab. Here, you can view the list of integrations of the selected user. You can reauthorize any integration if it is not working. Reauthorize revokes and re-establishes the connection to ensure there is no issue with the integration. You can also disable any integration if needed in this section.


3.6 Share booking page with pre-selected user and event type

You can share the booking link where the event type and user are pre-selected if you want to insist the customer to book with this user and event. For example, if you want the customer to book for a Product Demo session only with Ashton Prince, then you can share the link as below.

To share:
  1. Click Users on the left sidebar of Bookings. The users added in the selected workspace will be listed.
  2. Click the required user and select the Assigned event types tab. 
  3. Hover over the required event type and click the options icon  and select Share. A pop-up appears where you can share this booking link in various ways.
