Reset password for users

Overview

If a user forgets their password or can't sign in to Zoho One, you can reset their password to help them regain access. After the reset, the user will receive an email containing a one-time password, which they can use to set a new password. This process ensures secure and uninterrupted access to their account.
Info
You cannot reset passwords for Zoho One Organization Owners or external users.

Prerequisites

  1. Roles required to reset password:
    1. Org Owner
    2. Org Admin
    3. Custom role with "Reset Password" permission. Learn about adding roles.
  2. Passwords can only be reset for confirmed users.
  3. Import users using a CSV file (maximum of 300 users per import).

Reset passwords for users

The steps to reset password vary between the two User Interface versions supported in Zoho One. Select the UI version you use from the below tabs and proceed with the steps that follow.

  1. Sign in to Zoho One, then click  on the top-right corner.
  2. Click the Users tab on the left panel, then click on the required user to reset their password.
  3. You can reset a password for either a single user or multiple users:
    1. To reset password for a single user,
      1. Click Reset Password
      2. Select Clear mobile sessions and API tokens if you want to clear the user's mobile sessions and force them to sign in with their new password.
      3. Enter your password for verification, then click Yes, Confirm. An email containing a one-time password will be sent to the user.
        NotesFor users who have a mobile number as their primary email instead of an email, it is not possible to reset passwords. You can contact the user to reset their passwords themselves at accounts.zoho.com.
    2. To reset passwords for multiple users,
      1. Select the users whose passwords need to be reset.
      2. Click Reset password.
      3. Click  if you want to select more users or attach a file.
        Notes
        When resetting passwords for multiple users, users with unverified email domains will be excluded from the reset process. To ensure all selected users are included, please add and verify a domain.
      4. Select Clear mobile sessions and API tokens if you want to clear the user's mobile sessions and force them to sign in with their new passwords.
      5. Select Email the new password to the user to send each user's new password to their email address.
  4. Enter your password for verification, then click Reset Password.

Unified UI
  1. Sign in to Zoho One, then click Directory on the left menu.
  2. Click the Users tab on the left panel, then click on the required user to reset their password.
  3. You can reset a password for either a single user or multiple users:
    1. To reset password for a single user,
      1. Click Reset Password.
      2. Select Clear mobile sessions and API tokens if you want to clear the user's mobile sessions and force them to sign in with their new password.
      3. Enter your password for verification, then click Yes, Confirm. An email containing a one-time password will be sent to the user. 
        NotesFor users who have a mobile number as their primary email instead of an email, it is not possible to reset passwords. You can contact the user to reset their passwords themselves at accounts.zoho.com.
    2. To reset passwords for multiple users,
      1. Select the users whose passwords need to be reset.
      2. Click Reset password.

Mobile UI

For IOS Device

  1. Open the Zoho One app on your mobile device, then tap  on the top-right corner.
  2. Under USERS, tap on the user whose password you want to reset.
  3. Tap Reset Password.
  4. In the New Password field, an auto-generated password will already be filled. You can keep this password, manually enter a new password, or generate another password by tapping .
  5. Select Force users to change the password on login if you want the user to change the password the next time they sign in.
  6. Under Active login sessions:
    1. Web sessions will be cleared automatically will be selected by default. It cannot be deselected. With this option, the user will be signed out of all active web sessions, and will need to sign in again with the new password.
    2. Select Clear mobile sessions and API token if needed. With this option, the user will be signed out of all active mobile app sessions, and will need to sign in again with the new password.
  7. Select Email the new password to the users to inform the user of the new password.
  8. Tap Reset Password.
  9. Enter your password in the pop-up message, then tap Confirm.
  10. Tap SHARE to share the new password with the user.

For Android Device

  1. Open the Zoho One app on your mobile device.
  2. Tap  in the bottom-right corner, then tap Users.
  3. Tap on the user whose password you want to reset, then tap Reset Password.
  4. In the New Password field, you can manually enter a new password, or generate another password by tapping .
  5. Select Force users to change the password on login if you want the user to change the password the next time they sign in.
  6. Under Active login sessions:
    1. Web sessions will be cleared automatically will be selected by default. It cannot be deselected. With this option, the user will be signed out of all active web sessions, and will need to sign in again with the new password.
    2. Select Clear mobile sessions and API token if needed. With this option, the user will be signed out of all active mobile app sessions, and will need to sign in again with the new password.
  7. Select Email the new password to the users to inform the user of the new password.
  8. Tap Reset Password.
  9. Enter your password in the pop-up message, then tap Confirm.
  10. Tap SHARE to share the new password with the user.
