Convert an External User as an Organization User

Zoho Directory enables you to add users from other Zoho organizations to your organization as external users. In some cases, you might need to convert an external user to an internal user.

Converting an external user to an organization user enables you to manage their account, reset their account password, create a mailbox, assign/manage their devices, assign them as admins, and monitor their account activity. As an organization user, they can request additional apps other than the apps you've assigned to them.

Converting an external user to an organization user involves the following steps:
  1. Dissociating the user from their previous organization
  2. Inviting the user to join your organization

Step 1: Dissociating the user from their current organization

  1. If the user is a member in another Zoho Directory organization (or a standalone Zoho service such as Mail, CRM, and the like), please ask the user to contact their organization admin. Their organization admin will deactivate the user account and contact our support team, who will remove the user account from the current organization.
  2. If the user is the owner of another organization, please ask the user to cancel their Zoho Directory trial/subscription. The user must then go to Zoho Mail control panel and delete their organization.
  3. If the user is the owner of a standalone Zoho service, please ask the user to cancel their subscription/trial for the service. The user must then go to Zoho Mail control panel and delete their organization.

Step 2: Inviting the user to join your organization

  1. Sign in to Zoho Directory, then click Admin Panel in the left menu.
  2. Go to Users, hover over the required user and click .
  3. Click Convert to Org. An email invitation will be sent to the user to join your organization.
  4. Once the user accepts the invitation, they will be converted as an organization user.
