Zoho Vertical Field

The Zoho Vertical field is a lookup field that helps you fetch data from a Zoho Vertical module and prefill your form fields. Prefilling forms with data simplifies the form filling experience for your respondents and saves time. You can also push form entries to Related Lists associated with existing records or update existing records in Zoho Vertical using this field. 

Adding Zoho Vertical Field

  1. In your form builder, add the Zoho Vertical Field from the Advanced section in the left pane of your form builder. 
  2. In the pop-up, choose the required Module and Layout.
  3.  Choose between Basic or Advanced search type to look up and fetch records from your Zoho Vertical.
    NotesNote: Set the required field to look up as mandatory or as a unique field in the respective Zoho Vertical module to view it in the list of fields to look up while configuring the Zoho Vertical field.
  4. To prefill your form fields with the values fetched from Zoho Vertical, select the option to map fields and map the Zoho Vertical fields with the corresponding Zoho Forms fields, as shown.
    If you have assigned numeric/text values to the choices in your form, you can prefill the choice based fields with the assigned values.

  5. If you have a Subform in Zoho Vertical, you can prefill it in Zoho Forms by selecting + Add Subform to choose the required Subform and map the Zoho Vertical Subform fields with the corresponding Zoho Forms

    1. You can add a maximum of 5 Subforms by clicking + Add Subform.
    2. Each Subform can hold a maximum of 25 fields.
  6. Click Save.

    For example, if your respondents search for a particular Zoho Vertical record using a unique key, such as Last Name (as configured above), when the record is found, the mapped values in the Zoho Vertical field setup will be auto-filled into the form fields.
    The First Name, Phone, and the Email fields are automatically populated with data from the Zoho Vertical record as shown below. User can further modify the auto-filled values, and fill out the other form fields.

Using the Zoho Vertical Field 

The Zoho Vertical Field can be used to: 

  • Update a record in Zoho Vertical: When you share your form privately within an organization, you can use the Zoho Vertical field in the form to look up records from a Vertical module and prefill the forms. Your respondents can view and update the values in the form, and the records will be updated in the Vertical module. Learn more

  • Share prefilled forms from Zoho Vertical: You can distribute prefilled public forms to a contact list in Zoho Vertical and update records or add a related list.

Basic and Advanced Search Type

Basic Search
For a Basic Search, select a Search Field from the dropdown. This chosen field will be used to find and retrieve the required record from your Vertical.
Advanced Search
For an Advanced Search, you can define more specific and refined search criteria.
  1. Click Configure under Search Criteria.
  2. Under Search Field Configuration, select the Search Field you want to use for the Vertical lookup and choose the appropriate Operator to execute your search.
Operators:
  1. Starts With: This operator finds records where the data in your selected field begins with the characters you specify in the Vertical field.
  2. Contains:  This operator finds records where the data in the selected field includes the characters you specify anywhere within it.
  3. Equal: This operator finds records where the data in the selected field exactly matches the characters you specify.
For example, If your Search Field is "Last Name" and the Operator is "Equals," entering "Roy" will fetch all records in your Vertical where "Roy" is the Last Name.

Adding Additional Search Criteria
  1. To add further criteria to refine your search results, click Add Criteria.
    For example, to fetch records from "Company Zylker" with a "Title" of "QA," you can set the criteria as follows:

  2. Click Done and save your field.
Note:
  1. The field used in Search Configuration cannot be used again in Additional Search Criteria Configuration. 
  2. Additional Search Criteria are limited to three conditions.
