Quick Share
Quick Share option provides a convenient way to share forms with others directly from your forms listing page. This becomes extremely handy when working on group projects or collaborative initiatives, where the Quick Share option allows team members to quickly share the form with each other within your organization and view the list of users and groups that the form has already been shared with.
Here are some benefits of Quick Share:
- It is a minimized form share option designed to provide a quick and efficient way to share a form with public and private users.
- It simplifies permission management and you can view the list of users and groups that the form has already been shared with. This provides transparency and helps track the distribution of the form, ensuring that the right individuals or teams have access to it.
- It saves time and effort, enabling seamless sharing and collaboration among team members in group projects or collaborative initiatives.
To access the Quick Share option for a form,
- In your form's listing page, under My Forms, hover over the form that you wish to share and click the share icon as shown.
- You can readily copy the public link of the form by clicking the Copy Permalink option in the pop-up which copies the form URL to your clipboard.
- The Quick Share option provides the flexibility to share forms privately with specific users, groups, or all users within your organization which allows more granular control over form sharing and permissions:
- Specific Users: You can choose to share the form instantly with specific individuals within your Zoho Forms organization by providing their email addresses. This ensures that only designated users have access to the form and can interact with it according to their assigned permissions. Read more on the permissions that you can provide users.
- Groups: You can share a form with multiple groups in your organization for the group members to view and submit the form. This simplifies the sharing process, as you only need to select and share the group once instead of individually selecting every user. Enter the group name you wish to share the form with. If the group name is part of your Zoho organization, it will show up in the dropdown to choose from. Read more on sharing forms with groups.
- All Users: Share your form with all the users in your organization.
- Once you share your form, you can view the list of all the users and groups the form has been shared with. You can view and delete the existing users or groups to ensure that only the required users or teams have access to the form.
Note: The feature to share a form with specific users, groups, or all users in your organization is available only in our Standard plan and above.
