When a customer raises a service request, it can sometimes involve multiple assets — for routine maintenance, inspections, or related repairs. E.g. A commercial building may have multiple HVAC units, elevators, and fire safety systems. In such cases, you would want to link all relevant assets to one work order or service appointment.
You can select multiple assets in Requests, Estimates, Work Orders, Service Appointments, and Job Sheets. In order to do so, you need to first add the
Assets multi-select lookup to these modules.
Adding the Assets Multi-Select Lookup
To add the Assets multi-select lookup:
- Navigate to Setup > Customization > Modules and Fields and click on the desired module.
- Drag and drop the Assets multi-select lookup from the Unused Fields tray. Rename the field if required.

- Click Save.
Within a record, a maximum of 10 values can be selected in the Assets multi-select lookup.
Tip
- You can remove the Asset (single lookup) field if required.

Include Multi-Asset Details in PDF Templates
To include the asset details selected in the Assets multi-select lookup in PDF templates, do the following:
- Navigate to Setup > Customization > Templates > PDF Templates tab.
- Hover over the desired PDF template and click the Edit [
] icon.
- Click on More Options [
] in the Asset Details section and select Edit.

- In the Update Field Details dialog, click Add Field and select Assets.

- Click Update in the Update Field Details dialog.
- Click Save in the PDF Template Builder page.
