Automatically Import and Transcribe Recordings in Zoho Notebook (Beta)

Overview

Zoho Notebook allows you to automatically save meeting and call recordings from supported applications as Audio Cards or Video Cards. This helps you centralize recordings, discussions, and meeting references in one place without manually downloading and uploading files.

Once enabled, recordings from supported applications can be automatically added to Notebook and organized like any other notecard.

In addition to storing recordings, Notebook can automatically generate transcripts for supported audio recordings, making it easier to search, review, and reference important conversations.

Why Use Meeting Recording Integration?

Meeting recordings often remain scattered across different communication platforms. By integrating them with Notebook, you can:

  • Keep all meeting recordings in one place
  • Automatically organize recordings as notecards
  • Access recordings alongside related notes and documents
  • Generate searchable transcripts for supported recordings
  • Review discussions without switching between applications
  • Share recordings directly from Notebook

How to Enable Meeting Recording Integration

  1. Open the Zoho Notebook Web App.
  2. Click Settings.
  3. Navigate to Notebook AI.
  4. Enable Auto Transcribe.
  5. In the same page, locate the integrations section.
  6. Enable the applications you want to sync recordings from:
  • Zoho Cliq
  • Zoho Meeting
  • Zoho Voice
  • Zoom
  1. If using Zoom, complete the authorization process after enabling in Notebook.


You can enable one, multiple, or all supported applications based on your needs.

How It Works

Once an application is enabled, Notebook periodically checks for new recordings and imports them automatically.

The process works as follows:

  1. A meeting or call recording is completed in the supported application.
  2. Notebook checks for available recordings approximately once every hour.
  3. If an eligible recording is found, an Audio Card or Video Card is created in Notebook.
  4. As AI Transcribe is enabled, a transcript is generated for supported audio recordings.
  5. A notification email is sent to your Notebook registered email address containing links to open and share the notecard.


Since Notebook checks for new recordings approximately once every hour, newly completed recordings may take some time to appear.

Account Requirements

For Zoho applications, the same account must be used across both Zoho Notebook and the respective application.

Examples:

  • Zoho Notebook and Zoho Cliq must use the same Zoho account.
  • Zoho Notebook and Zoho Meeting must use the same Zoho account.
  • Zoho Notebook and Zoho Voice must use the same Zoho account.

For external applications such as Zoom, you may use a different account and still configure the integration successfully.

Zoom Authorization

Before Zoom recordings can be imported into Notebook, you must authorize your Zoom account from the Notebook integration settings. Once authorized, Notebook can access eligible recordings and import them automatically.

Recording Size

Currently, only recordings that are 500 MB or smaller are supported for import into Zoho Notebook.

Please ensure that:

  • The recording file size is 500 MB or less.
  • Larger recordings may not be processed or imported successfully.

Sync Recordings Immediately

If you need access to a recording immediately after the meeting ends, you can manually trigger a sync instead of waiting for the next scheduled check.

Follow these steps:

  1. Open the Zoho Notebook Web App.
  2. Click Settings.
  3. Navigate to Notebook AI.
  4. Locate the integrations section.
  5. Click Sync Now next to the desired application.
  6. Wait a few minutes while Notebook checks for new recordings.

If a recording is available, the corresponding Audio Card or Video Card will be created shortly.

Automatic Transcription

Notebook can automatically generate transcripts for supported audio recordings when AI Transcribe is enabled.

Supported Transcription Languages

Currently, transcription is supported in:

  • English
  • Spanish
  • French
  • German
  • Italian
  • Dutch
  • Russian

The generated transcript is available in the recording, making it easier to review and search meeting content.

Notification and Sharing

Once a recording has been successfully processed:

  • An Audio Card or Video Card is created in Notebook.
  • A transcript is generated when applicable.
  • A notification email is sent to your registered email address.
  • The email includes:
  • A link to open the notecard.
  • A link to share the notecard.

This allows you to access and distribute recordings quickly after processing.

Managing Recording Notecards

After recordings are added to Notebook, you can:

  • Rename the notecard
  • Move it to another notebook
  • Add tags
  • Search recordings and transcripts
  • Share with collaborators
IdeaTip: The notecard title will be automatically generated based on the content of the meeting. You can edit and customize the title later as needed.

1. Which plans support Meeting Recording Integration?

      This feature is currently available for Notebook for Business and Zoho One users.

2. Is this feature available on mobile and desktop apps?

      No, Currently Meeting Recording Integration is available only on the Notebook Web App. Support for additional platforms is planned for future releases.

3. Do I need Notebook AI enabled?

      Yes, AI Transcribe must be enabled from Settings > Notebook AI for automatic transcription and recording processing.

4. Can I enable only specific applications?

      Yes, You can independently enable or disable Zoho Cliq, Zoho Meeting, Zoho Voice, and Zoom integrations.

5. Why is my Zoho Cliq recording not appearing in Notebook?

      Only recordings initiated by you are eligible for Notebook integration. Hence, you must have started the recording.

6. Why has my recording not appeared immediately after completion?

      Notebook automatically checks for new recordings approximately once every hour. If you need immediate access, use the Sync Now option available in Notebook AI settings.

7. Do Notebook Business administrators need to enable this feature?

      No, Individual users can configure and enable the feature directly from their own Notebook account.

8. Will I receive a notification when my recording is ready?

      Yes, Once processing is complete, Notebook sends an email notification containing links to open and share the generated notecard.
