Notecard Actions

Overview

Notecards are the core building blocks of Zoho Notebook. Every piece of content you save, a text note, checklist, photo, audio recording, sketch, file, or web link lives inside a notecard. Notecard actions are the full set of controls available to manage, customize, share, organize, and act on your notecards from anywhere in the app.

Notecard actions allow you to quickly perform tasks such as editing note details, moving cards, adding tags, setting reminders, sharing content, exporting notes, and accessing additional options based on the type of notecard you are using.

These actions make it easier to manage your notes without leaving the notecard.

Common Notecard Actions

Edit Notecard

Open any notecard to update its content at any time. The available editing options vary by notecard type:

  • Text Cards: Edit text, apply formatting (bold, italic, headings, lists, tables, code blocks), insert images, add links, and embed dividers
  • Checklist Cards: Add, remove, reorder, and check off tasks
  • Photo Cards: Add or replace images, annotate photos
  • Audio Cards: Re-record or replace audio, view transcription
  • Sketch Cards: Edit strokes, add colors, modify drawings
  • File Cards: Preview and replace attached files
  • Link Cards: Edit the title, description, and URL

Rename Notecard

Change the title of any notecard at any time. A clear, descriptive title makes notes easier to find using search or filters.

Version History & Restore

Zoho Notebook automatically tracks changes to your notecards. You can:

  • View a full list of previous versions with timestamps
  • Preview any past version to compare with the current content
  • Restore to an earlier version if the current content needs to be undone


Note Activities

The Note Activities log shows a chronological record of all actions taken on a notecard, including:

  • Who created, edited, or viewed the note
  • Access this via More (...) > Note Activities inside the notecard.
  • The activities can be downloaded.



Note Merge

Combine two or more notecards into a single note. This is useful when related content has been captured separately and you want to consolidate it. Access via More (...) > Note Merge.

Move Notecard

The Move option allows you to move a notecard from one notebook to another.

This is useful when you want to reorganize your notes or place a notecard under a more relevant notebook.

Copy Notecard

The Copy option allows you to create a duplicate of an existing notecard.

This is useful when you want to reuse the same content, checklist, or format without modifying the original notecard.


Add Tags

Tags help you organize and find related notecards across different notebooks.

You can add one or more tags to a notecard based on topic, project, priority, or category.

Example:

A travel note can include tags such as Travel, Tickets, Packing, or Expenses.

Add to Collection

Collections help you group related notecards within a notebook.

You can add notecards to collections to keep similar notes together without moving them to another notebook.

Set Reminder

You can set reminders for notecards that require follow-up or action.

Reminders are useful for:

  • Tasks
  • Deadlines
  • Meetings
  • Bills
  • Personal goals
  • Follow-up notes

Notebook will notify you based on the reminder date and time you set.

Recurring Reminder

For repeated tasks, you can set recurring reminders on supported plans.

This helps you manage notes related to daily, weekly, monthly, or repeated activities.

Example:

You can set a recurring reminder for weekly reports, bill payments, or habit tracking.


Share Notecard

You can share individual notecards with others instead of sharing the entire notebook.

This is useful when you want to share only specific information while keeping the rest of the notebook private.

Ideal for:

  • Sharing a task list
  • Sending meeting notes
  • Sharing instructions
  • Collaborating on a single note
  • Sharing quick references

Lock Notecard

You can lock sensitive notecards to protect private information. Locked notecards require authentication before they can be opened.

This is useful for notes that contain:

  • Personal information
  • Private ideas
  • Confidential work details
  • Important references


Favorite Notecard

You can mark important notecards as favorite for quicker access.

This helps you keep frequently used or important notes easily available.

Useful for:

  • Important tasks
  • Frequently used checklists
  • Reference notes
  • Ongoing projects


Change Notecard Color

You can customize notecards by changing their color. Colors help you visually organize notes and quickly identify different categories.

Example:

You can use one color for work notes, another for personal notes, and another for urgent tasks.



View Notecard Information

The Info option lets you view details about a notecard.

This may include:

  • Created date
  • Modified date
  • Notebook location
  • Tags
  • Reminder details
  • Shared status

This helps you understand when and how the notecard was created or updated.


Export Notecard

You can export notecards for backup, sharing, or offline use.

Depending on the platform and card type, export options may include:

  • Export as PDF
  • Save or download attachments
  • Copy content to another app
  • Print the notecard

You can print individual notecards when you need a physical copy.

This is useful for:

  • Checklists
  • Meeting notes
  • Study notes
  • Travel plans
  • Reference information

Delete Notecard

You can delete notecards that are no longer needed.

Deleted notecards are moved to Trash, where they can be restored if required.

Restore Notecard

If a notecard was deleted by mistake, you can restore it from Trash.

Once restored, the notecard will be available again in Notebook.

Permanently Delete Notecard

Notecards in Trash can be permanently deleted if they are no longer required.

Once permanently deleted, they cannot be restored.

Things to Know

  • Available actions may vary depending on the platform you are using.

  • Deleted notecards can be restored from Trash unless they are permanently deleted.
