Leave Grant Request Permissions

The Leave Grant settings allow administrators to control who can cancel leave grant requests and whether employees can submit multiple leave grant requests with the same effective date.

A leave grant allows additional leave to be allocated to an employee beyond their regular leave entitlement. Employees can raise leave grant requests, while authorized users can review and manage these requests.

Configure Leave Grant Settings

  1. Navigate to Configuration > Leave > Configuration > Leave Grant.
  2. Configure the required Leave grant cancellation permissions and Restrictions & preferences.


Leave Grant Cancellation Permissions

Use this section to specify who can cancel a leave grant request.

You can grant cancellation permission to employees, reporting managers, approvers, or specific users.

Employees (Self)

Select Employees (Self) to allow employees to cancel their own leave grant requests.

Example:
An employee submits a leave grant request and later decides that the additional leave is no longer required. If this option is enabled, the employee can cancel their own request, subject to the applicable request status and other system restrictions.

Reporting Managers

Select Reporting Managers to allow an employee's reporting manager to cancel their leave grant requests.

Example:
An employee's manager identifies that the requested additional leave is no longer required and cancels the request on the employee's behalf.

Approvers

Select Approvers to allow users who are part of the approval process to cancel leave grant requests.

This is useful when leave grant requests are reviewed through an approval workflow and the approver needs the ability to cancel a request.

Specific Users

Select Specific Users to give cancellation permission to selected users.

After enabling this option:

  1. Click the user selection field.
  2. Search for and select the required users.
  3. Remove users using the X icon when required.

Example:
An organization may want only members of its HR operations team to cancel leave grant requests. Instead of granting the permission to all reporting managers or approvers, the administrator can select the required HR users under Specific Users.



Restrictions & Preferences

This section controls how employees can submit leave grant requests.

Prevent leave grant requests with the same effective date

Enable this option to prevent an employee from submitting more than one leave grant request with the same effective date, even if an earlier request with that date has already been approved.

The effective date is the date from which the leave granted through the request takes effect. It is different from the date on which the employee submits the request.

Example

An employee submits a leave grant request with:

  • Effective date: August 15
  • Leave grant: 5 days

If the request is approved, the employee cannot submit another leave grant request with August 15 as the effective date when this restriction is enabled.

This helps prevent duplicate or overlapping leave grant requests for the same effective date.

When this option is disabled, the system does not apply this particular same-effective-date restriction. Employees can submit multiple leave grant requests with the same effective date, subject to other applicable leave grant rules and permissions.
