How to Generate Employee IDs During Onboarding or User Addition

You can now generate employee IDs while converting a candidate to an employee or when adding users directly in Zoho People.
InfoEmployee ID Generation must be enabled and configured in Zoho People to generate Employee IDs when converting a candidate to an employee or adding users directly in Zoho People.

Generate Employee ID during Onboarding 

To generate an employee ID while converting a candidate to an employee, employee profiles or when adding users directly in Zoho People from onboarding service:
  1. Navigate to Settings > Onboarding > Candidate Onboarding Reports > All tab.
  2. Select the user(s) you want to convert to employees.



  3. Click Convert to >Invite Users / Add Users Directly / Employee Profiles.

    You can convert candidates whose onboarding status is Not Triggered or Onboarded to employees, or add users directly in Zoho People.
  4. In the Employee ID field, click Generate.

    Select multiple users to generate employee IDs in bulk. 
  5. The rules configured under the Employee ID Generation section will appear.
  6. Click Generate on the corresponding rule.
  7. Select the required ID generation fields, and click Save.
  8. The selected rule will appear. Alternatively, you can click Manual to enter an ID of your choice (this option is available only for single selection).
  9. Click Finish to complete the process.
    The employee ID will be generated for the selected employees, and it will be reflected in their profiles once they are added as employees in Zoho People.

Generate Employee ID when Adding Users Directly in Zoho People

You can also generate Employee ID based on rules from following places while adding users directly:
  1. Operations > Employee Information > Employees > Add Employees > Invite Users



  2. Settings > Manage Accounts > Users > All > Add Users > Invite Users



Idea
A default ID from the Employee ID generation settings will be applied to all users who are invited in bulk via Zoho One, Zoho Mail, Google Workspace, or Microsoft 365. Later, the ID can be regenerated based on specific rules.
