Read-Only Access Users
Zoho Projects supports portal users with read only access. They cannot add, edit, or delete any entities in Zoho Projects.
Use cases
Construction: Supervisor of a building site provides input to the engineer about the progress of the construction. Engineer cross verifies the updates and adds them to the project. Therefore, it is not necessary for the supervisor to have edit access. The supervisor is granted Read-only access so that they can review the data added, check the tasks allocated to them, and get notified if @ mentioned in any of the comments.
Marketing/ Sales: Freelancers are hired to sell products. These freelancers work under a team lead. Since these freelancers are hired on a temporary basis, giving them full access to project data isn't needed. The team lead feeds the freelancers' sales data into the project. Therefore, these freelancers can be added as Read-only users in the project for them to verify their sales data.
Software development/ IT: Sometimes, a customer would request to view their data in our system. At such instances, we can give the user Read-only access to look into their data.
- Read-only users can view both internal & external data.
- They can be assigned to tasks, issues, and milestones with view permission.
- However, these users cannot be added as project owners.
- Portal users can log time for users with read-only access.
- Read-only users can be mentioned in status, comments etc.
- Read-only user profiles cannot be customized.
- They can be deactivated and activated.
- Project Owners and Admins cannot be changed to read-only users.
- Read-only users can set their Personal Preferences, Email Notifications, Feed Notifications, & Activity Reminder.
- Read-only users have permission for all operations in Pages.
Feature Availability: 10 free Read-only users and subsequent add-ons are available for purchase in latest user based Enterprise plan. 100 free Read-only users are available for purchase in the Ultimate plan.
Add Read-Only Users
- Navigate to Users in the left navigation pane and then click Portal Users.
- Click Invite User in the upper right corner.
- Enter User Email.
- Select the Read-only user radio button.
This will disable the profile option. It will be set to Read-only. - Enter other details and click Invite.
Click Add More to add additional users.
Edit an Existing User to Read-Only
- Navigate to the Users section and click Portal Users.
- Hover over a user, click
and select Edit, or click
or right-click on the user.
- Select Read-only user in Portal Profile field.
- The change will be auto updated.
