Organizational Email allows you to send emails from a unified, professional email address (like careers@yourcompany.com) instead of using individual personal addresses (like jane.doe@yourcompany.com). This helps maintain a consistent identity across all your recruitment communications.
Example:
Instead of candidates receiving emails from multiple recruiters' personal inboxes, you can use hiring@zylker.com for all outgoing messages.
Benefits
- Consistent Branding: Standardize your "From" address across all communications.
- Better Candidate Trust: Candidates are more likely to engage with familiar, role-based email IDs.
- Team Efficiency: Shared address ensures continuity, even when recruiters change or leave.
- Centralized Email Identity: Aligns all outreach with your organization's domain name.
Where can I use Organizational Email?
You can use it as the From address in:
- One-to-one emails
- Workflow email alerts
- Interview invites
- Offer letters
- Client submission emails & more!
Once verified and assigned, your team can select it while composing or configuring emails—keeping everything aligned to your brand.
How to Set Up Organization Emails
Only users with the Customize Zoho Recruit permission can perform this setup. This permission is available by default for the Administrator user profile.
- Navigate to Setup > Customization > Templates.

- Select the Organizational Email sub-tab and click + Add Organizational Email.

- In the pop-up that is displayed, enter the following information:

- Enter the Display Name and Email Address.
- Specify the Signature.
You can use editing tools to format the signature. - If you wish to add a disclaimer, you can generate one using the AI Assist option.

- Click Send notification when you're done. You will then receive a verification email to the entered email address.
- Upon verification, all users in your organization can start sending emails with the Organizational Email.
Domain Authentication (Highly Recommended)
To ensure your email reaches recipient inboxes consistently and not their spam folders, it's crucial to authenticate your domain. Domain authentication proves that Zoho Recruit has your permission to send emails on behalf of your organization.
Without authentication, some email clients may treat your emails as suspicious or spoofed, reducing deliverability and trust. See More Email Authentication
