SMS Distribution

Follow the steps below to start sending surveys using SMS Distibution:

 For  Zoho SMS service: 

  1. Navigate to  the Launch tab, and under Distribution in the left pane, click on the SMS icon. Then click on the Create SMS icon.

  2. In the Connection dropdown, choose the SMS connection you have configured
    1. Select the Zoho SMS Connection.

    2. Upload the DLT file.

    3. Click on the template you want to use.

    4. Choose the variables you wish to replace the keys in the template .Ensure {Surveylink} variable is added as its mandatory.

    5. Once the variables are added click Save.
    6. Verify the template message, and then click Next.
    7. Then you'll have to import contacts to distribute the survey which are explained in this section.
Notes
Note:
  1. The uploaded templates have an approval period, only after which they can be sent as SMS Invites. During the approval period, they can also be rejected.
  2. For SMS Service, the template cannot be edited. It can only be replaced or copied from an existing template by clicking the Copy an existing template icon.
  3. ​On saving a template, 0.002 credit shall be deducted from your available credits.

For third-party apps (SMS Magic/ Twilio/ Clickatell)

  1. Navigate to  the Launch tab, and under Distribution in the left pane, click on the SMS icon. Then click on the Create SMS icon.

  2. In the Connection dropdown, choose the SMS connection you have configured:
    1. Choose the Connection type (Twilio/SMS Magic/Clickatell)
    2. In the Editor, add the custom message to be shared along with the survey, using the rich text editor, and then click Next.
  3. Then you'll have to import contacts to distribute the survey which are explained in this section.

To import contacts for survey distribution

  1. To select the contacts for survey distribution, hover over the Import icon and click on it to start importing contacts.



    The contacts can be uploaded via CSV or XLS files or manually entered:

    1. To import contacts from a CSV file :

      1. Click on the CSV  icon and select Choose file icon to upload a CSV file.
      2. Enter the new group's name in the Name your new group text box and click on the Add icon.
    2. To import contacts from an XLS file:   

      1. Click on the XLS icon and select Choose File to upload an XLS/XLSX/ODS file.

      2. Enter the new group's name in the Name your new group text box and click on the Add icon.

    3.  To manually enter the details:   

      1. Click Manual and type or copy-paste contacts.

      2. Enter the new group's name in the Name your new group text box and click on the Add icon.

    4. You can also set Triggers to send invites to the people based on events created via third-party apps. For that add a Trigger name.

    5. Then click Next and set-up your Invites as One-Time or Recurring Invites.

To Schedule SMS Distribution

Follow the steps below to schedule your SMS Invites
SMS Distributions can be sent out as can be scheduled Invitations by configuring them as :
  1. One Time Invites
  2. Recurring Invites

You'll be prompted to choose from the following options:

 One Time Invites

Under One-time invite, you can choose to send an SMS immediately or schedule it. The invitation will only be sent once. This can be used in scenarios like sending a customer feedback survey or a growth analysis survey.  

  1. To send the invite at once, select Immediately.
  2. To schedule a particular date and time, select At a specified date and time.
  3. Choose the date from the calendar and set the time to schedule the SMS to be sent.

Recurring Invites

You can configure sending SMS as Recurring Invites to ensure the invitations will be sent periodically.

Follow the steps below to configure Recurring Invites: 

  1. Set the Frequency of sending Invites as either Daily, Weekly, or Monthly.
    1. To send the SMS every day, select Daily.
    2. To send the SMS every week, select Weekly, and select the days to send the SMS messages and the Time Slot(s).
    3. To send the SMS every month, select Monthy, and set the cycle.
    4. If it's Daily to send the SMS on specific dates.

  2. Choose the Start Date for the SMS Invites to begin sending.
  3. Select the Time Slot(s): Choose the time slots at which the invites should be sent . For example if you want a Feedback survey to be sent at 10:00 AM, 15:00 PM and 19:00 PM then add those 3 time slots
  4. Set the Schedule Intervals: Schedule the intervals at which the recurring invites should be sent. If the frequency is daily, weekly, or monthly, the invites will be sent as such by default. However, you may customize the interval frequency by choosing any of the options in the dropdown.
  5. Set  the  Trigger Expiry to choose an end type for the SMS schedule.  It can be set to be non-stop, based on a date, the schedule count, the collector response count, or the survey response count.
  6. Once  you're done, click Schedule and proceed to Schedule a Reminder.
NotesNote :Click on the Skip Weekends checkbox to skip sending the SMS on weekends.
