Manage personal preferences

General Preferences let you personalize your workspace so you can browse, sort, and access content in a way that best suits your workflow.


Manage general preferences

  1. Navigate to the profile icon in the top right corner of your WorkDrive screen.



  2. Under the My WorkDrive section, click My Preferences.
    The My Preferences page opens with General tab as default.



  3. Under the General tab, you can see a list of following preferences to manage.

Note: These preferences customize your WorkDrive experience only and do not change settings for other team members.
 
 

Available General Preferences  

Default View  

You can c
hoose how files and folders are displayed when you open folders in WorkDrive. Select a view that helps you browse and locate content more efficiently.
Notes
This setting applies only to folders and views that use the default view setting. If you've already customized the view for a folder or view, that setting will remain unchanged.
  1. Go to: Profile icon > My Preferences > Default View
  2. Select the view that best fits your browsing style.
    • Thumbnail
    • List
    • Compact


Default Thumbnail Size  

You can a
djust the size of file and folder thumbnails to balance visual previews and the number of items visible on screen.
Notes
This setting applies only to folders and views that use the default thumbnail size. If you've already customized the thumbnail size for a folder or view, that setting will remain unchanged.
  1. Go to: Profile icon > My Preferences > Default thumbnail size
  2. Use the slider to adjust thumbnail size based on your preference

 

Default Sorting  

You can choose how files and folders are organized by default, making it easier to find content based on your preferred browsing pattern.
Notes
This setting applies only to folders and views that use the default sorting setting. If you've already customized the sorting order for a folder or view, that setting will remain unchanged.
  1. Go to: Profile icon > My Preferences > Default sorting
  2. Choose your preferred sorted based on your browsing style from the available options:
    • Last Modified
      Choose oldest first or newest first in the dropdown below the Last Modifies option.
    • Name
      Choose between A -> Z, or Z-> A from the dropdown below the Name option
    • Time Created
      Choose oldest first or newest first in the dropdown below the Time Created option.

Default Columns for List and Compact Views  

You can customize the information displayed alongside files and folders in List and Compact views, so you can see the details most relevant to your work.

Go to: Profile icon > My Preferences > Default Columns for List and Compact Views  
 
Default Columns
These columns are always displayed and can’t be removed:
  1. Name
  2. Shared Time (shown only in the Shared With Me view)
  3. Accessed Time (shown only in the Recent Files view)
  4. Reason Suggested (shown only in the File Suggestions view)


2. Optional Columns
You can choose to show or hide these columns by checking and unchecking the corresponding boxes.
  1. Last Modified
  2. Time Created
  3. Size
  4. Extension
  5. Type

Notes
Column settings apply only to List and Compact views, as Thumbnail view displays files and folders as visual previews and does not support columns.
 

Default Landing Location  

Choose a default location to open when you sign in to or open your WorkDrive account.
  1. Go to: Profile icon > My Preferences > Default Landing Location
  2. You can choose your preferred default landing location from:
    • File Suggestions
    • Recent Files
    • Favorites
    • My Folders
    • Last Opened Folder
 
 

Default Team Folder Listing  

Choose how Team Folders appear in the left panel of your WorkDrive. This setting helps you control visibility and organize Team Folders based on how you prefer to access them.
Available options:
  • Show all Team Folders
    Displays every Team Folder you have access to in the left panel.
  • Show Team Folders based on integrated apps
    Displays only the Team Folders linked to your connected or integrated apps.
    Note: This option is only available for teams contextually integrated with other Zoho apps. Currently, WorkDrive only supports contextual integration with Zoho Projects, Zoho Marketing Plus, Zoho CRM, and Bigin.
  • Show only pinned Team Folders
    Displays only the Team Folders you have manually pinned for quick access.
  • Don’t show any Team Folders
    Hides all Team Folders from the left panel.
When someone requests access to a file or folder, the file's admin gets a notification.

 
 

Include My Folders Files in Smart Suggestions  

Control whether files shared from your My Folders appear in other members’ File Suggestions.
When this setting is enabled, WorkDrive can surface shared content more proactively to collaborators, making it easier for them to discover relevant files.
  1. Navigate to Profile icon > My Preferences > Include My Folders Files in Smart Suggestions
  2. Toggle on the Include My Folders Files in Smart Suggestions button to allow files from your My Folders to appear in other Team members' File SuggestionsLearn more about File Suggestions
 

Convert Files to Zoho WorkDrive Format on Upload (My Folders)  

This option automatically converts files you upload to My Folders into Zoho WorkDrive’s native format.
  1. Navigate to Profile icon > My Preferences > Convert Files to Zoho WorkDrive Format on Upload (My Folders)  
    1. Toggle on the Convert Files to Zoho WorkDrive Format on Upload (My Folders) button to enable automatic conversion of supported files during upload.
      When enabled, supported documents are converted during upload, allowing you to edit them directly using Zoho’s built-in apps.
    2. When toggled off, Files are uploaded in their original format without conversion. You may need to download files or open them in external applications for editing.

Notes:
  • Only when the file conversion is enabled at the team level and anyone on the team is allowed to choose this setting, you can enable or disable the automatic file conversion setting in your My Folders. Learn more
  • Check the supported files for conversion in WorkDrive.
  • WorkDrive's file conversion setting will not affect the files directly uploaded to Writer, Sheet, and Show, where all non-Zoho format files will be converted and opened in their corresponding editor app.
  • Files uploaded via the WorkDrive Desktop app will not be converted automatically. You will need to manually open these files in the respective app to convert them.
