How to replace PDF in PDF Automation Templates

Overview

The Replace PDF feature in Zoho Writer allows users to swap the background PDF of an existing PDF Automation template without losing the automation configurations like fields, mappings, or signatures already set up. This is especially useful when minor changes are needed to the background PDF while keeping your Fillable, Merge, or Sign PDF template intact.

Prerequisites

  1. The document type must be a PDF Automation template (Fillable, Merge, or Sign PDF).
  2. You must have edit access to the template.
  3. The replacement file must be in PDF format.
  4. The replacement PDF must be no larger than 10 MB and no more than 150 pages

Steps

  1. Open your PDF Automation template (Fillable, Merge, or Sign PDF) whose background PDF you want to replace.
  2. Look for the Replace PDF option in the toolbar.

  3. Click Replace PDF to initiate the replacement process.
  4. In the file picker dialog, select the new PDF file from your device and click Open. Ensure the new PDF has the same page dimensions and layout as the original for best results with your existing automation fields.
  5. Zoho Writer replaces the background PDF and re-renders the document with your existing automation configurations (fields, mappings, signatures) intact.

Notes

  1. The PDF replacement action cannot be undone. The original PDF will not be recoverable.
  2. If your new PDF has fewer pages: Any fields placed on the extra pages of the old PDF will be permanently removed.

Troubleshooting

  1. Problem: Replace PDF option is not visible.
    Cause: The document is not a PDF Automation template.
    Solution: Ensure the document was created as a Fillable, Merge, or Sign PDF template.
  2. Problem: Upload fails.
    Cause: The file is not a valid PDF or it exceeds the allowed limits.
    Solution: Make sure the file is a valid .pdf, under 10 MB, and no more than 150 pages. Compress or split the PDF if needed.
  3. Problem: Fields are misaligned after replacement.
    Cause: The new PDF has different page dimensions or layout.
    Solution: Use a replacement PDF with the same dimensions and field positions as the original.
