Advanced Electronic Signatures via TrustFactory for South Africa

TrustFactory is a leading accredited trust services provider in South Africa, and is one of the two accredited authorities that issues Advanced Electronic Signature (AES) and standard Adobe Approved Trust List (AATL) digital signature certificates to signers for digitally signing documents. These digitally signed documents are legally valid under the South African Electronic Communications and Transactions (ECT) Act No 25 of 2002 and the Accreditation Regulations, and are compliant under the standards set by South African Accreditation Authority.

Note:
- This can only be used by users that have been associated with the integration by the administrator of the Zoho Sign organization.
- All associated users must have successfully configured this integration by registering with TrustFactory.
- No additional Zoho Sign credits will be consumed.
- As per the restrictions imposed by TrustFactory, users are permitted to sign 10,000 documents per certificate annually.
The integration can be split into three parts;
- Enabling the TrustFactory integration
- Configuring the TrustFactory integration
- Signing documents via TrustFactory

Enabling the TrustFactory integration
This action can only be performed by administrators. If you're an administrator, follow these steps:
- From the left navigation pane, click Settings > Integrations.

- After enabling the service, click Manage User > Associate User to associate users.


- Select the users and click Associate.
Configuring the TrustFactory integration
After a user has been associated, the user must register with TrustFactory on their website and link their account within Zoho Sign to access the certificates issued to them by TrustFactory.
To do so:
- From the left navigation pane, click Settings > Integrations.

- Under TrustFactory, click Configure.

- Click Authenticate TrustFactory to link their TrustFactory account with Zoho Sign.

- If you don't have a TrustFactory account, click here on the message displayed to initiate the TrustFactory registration process, and get a AES/AATL certificate.
- Once the account has been registered, user has to link their TrustFactory account in Zoho Sign.
- Upon successful linking, the user will need to choose one of the signing certificates they have been issued - either an Advanced Electronic Signature (AES) certificate or a standard Adobe Approved Trust List certificate.

- When users are signing documents, they can find the option to sign via TrustFactory from the Sign via drop-down menu at the top-right of the document signing page.

- The signer enters the TOTP (Time-based OTP) linked to their account to complete signing the document.


Checking documents signed via TrustFactory
Please find the a sample signed document and its corresponding completion certificate attached at the bottom of this page.
- Open the signature properties of the signed document.
- Click Show Signer's Certificate.
- The Certificate Viewer will open, where the certificate details can be found.

- Another way to check the document for digitally signed using TrustFactory is by checking the Signed using section in the downloaded completion certificate.
