Use cases

1. In a project management firm, there are multiple teams and a few teams use Zoho Sprints while others use Jira for their project management activities. In such instances, you would want the data to be synced across products to avoid data discrepancies. With this integration, you can sync data between the applications and manage your work tasks efficiently across products.
   
   
2. If a client or vendor uses Jira while you manage your project related activities in Zoho Sprints, you can use this integration to enable data sync between the products.

Availability: Premier and Enterprise plan

Accessibility: Only workspace owner can enable the integration. Users with the 'Add Item' permission can sync work items from Zoho Sprint to JIRA.

Note: This integration is supported only for Work Items

Install Jira extension

1. Click the gear icon at the top-right corner. The settings window will appear.
   
2. Click All under the Marketplace section. The listing page will appear.
   
3. Select Jira for Zoho Sprints.
   
4. Click Install on the following page.
   
5. Select the projects and set the accessibility for the users.
   
6. Click Install Now. After the installation, you will be navigated to the Configuration tab.
   
   
7. Enter the Jira Domain in the valid format. For ex. https://abc.atlassian.net.
   
8. Click Save & Next. Once done, you'll be navigated to the Authorization tab.
   
9. Click the Authorize buttons to authorize connections and trigger to grant access to Zoho Sprints and Jira accounts.
   
10. Once you click Authorize, you'll be prompted to enter the User Name and Password. In the Password field, please enter your Personal Access Token (PAT).

1. Team owner: The team owner needs to create PAT without scopes to enable two-way sync between the platforms. When PAT is created without scope, it gives us the ability to register webhook in Jira which aids in syncing the tasks and issues.
   
2. Team user: The team users need to create PAT with the below mentioned scopes:
   

read:jira-work

read:jira-user

Write:jira-work

Note: While creating PAT, you'll be prompted to enter the expiration period which can be set at maximum of 1 year. After the expiration period, the sync between the products will fail. You can revoke the existing connection and reauthorize the connection with a new PAT.

Sync Work Items

From item creation page

1. Navigate to a project in Zoho Sprints.
   
2. Click the drop-down beside the Create button at the top right and select Create Item.
   
3. Enter the item details in the required fields.
   
4. Click the Add to Other apps button and select Sync to Jira.
   
   
5. The Jira section will open. Select a Jira project from the dropdown.
   
6. Enter values in the mandatory and other required fields.
   
7. Click Sync.
   
   

From item details page

1. Navigate to a project in Zoho Sprints.
   
2. Select an existing work item.
   You'll land in item details page.
3. Click the Jira widget in the item's right navigation bar.
   
   
4. Click the Sync to Jira button.
   
   
5. Select a Jira project for the work item to sync.
6. Once this is done, there will be two sections of fields.
1. Synced fields: Mandatory Jira fields will be listed under this section with the field values fetched from Zoho Sprints. These field values can't be edited if prefilled. If the values aren't added in Zoho Sprints, you'll be prompted to enter them in this section.
   
2. Unsynced fields: Other Jira fields will be listed in this section. Enter mandatory field values and other values if needed.
7. Click Sync.
   

Feature behaviour

Sync scenarios

1. When a work item is synced from Zoho Sprints to Jira and when the item has multiple assignees, the system checks for the respective assignees in Jira. The work item will be assigned to the first found assignee as Jira supports a single assignee per issue. If the respective assignees are the unavailable in Jira, the Jira issue will be left unassigned.
   
   
2. For a synced item, if the assignee is updated in Zoho Sprints, the system will check for the new assignees in Jira and the first found assignee will be updated in Jira.
   
   
3. For a synced item, if the assignee is updated in Jira, the system will check if the new assignee is already added as an assignee in Zoho Sprints. Otherwise, the system will add the new assignee in addition to the existing assignees.
   
   
4. Assignees will not be synced from Zoho Sprints to Jira if the team owner has masked the workspace users email address.
   
   
5. Assignees will not be synced from Jira to Zoho Sprints if the assignees' have setup mail visibility as 'None'. Learn more
   

1. When the item is synced from Zoho Sprints to Jira, the system checks for matching value in Jira without considering case sensitivity. If a matching status exists, the value will be pre-filled. If it does not exist in Jira, issue will be created in default status.
   
   
2. For a synced item, if the status is updated in Jira/ Zoho Sprints, the system will check for matching values in the other application. If the respective value is found, the status will be updated. Otherwise, the existing status will be retained for the work item.
   

1. When an item is synced from Zoho Sprints to Jira, the system checks for the matching value in Jira without considering case sensitivity. If a matching priority exists, the value will be pre-filled. If it does not exist in Jira, the user be prompted to select an equivalent priority before syncing (if priority is set as a mandatory field) or the user can skip entering priority for the item.
   
   
2. For a synced item, if the priority is updated in Jira/ Zoho Sprints, the system will check for matching values in the other application. If the respective value is found, the priority will be updated and synced. Otherwise, the existing priority will be retained for the work item.
   

1. For synced item, if the tag is updated in Jira/ Zoho Sprints, the system will check for the matching values in the other application. If the respective value is found, the tag will be updated and synced.
   
   
2. If the matching tag is unavailable, and if the update is done from Jira, the existing tag will be retained in Zoho Sprints.
   
   
3. If the matching tag is unavailable, and if the update is done from Zoho Sprints, a new tag will be created and added to the issue in Jira.
   
   
4. When a tag created in Zoho Sprints is synced to Jira, any spaces (' ') added to the tag name are replaced with underscores ('_') .
   
   
5. When a tag created in Jira is synced to Zoho Sprints, any underscores ('_') in the tag name are replaced with spaces ('_').
   

1. When an item is synced from Zoho Sprints to Jira, any existing attachments will not be synced to Jira. Only new attachments added after the item sync will be synced to Jira.
   
   
2. Attachments added in Zoho Sprints will be synced with Jira. However, any attachments added in Jira will not sync with Zoho Sprints.

Character limitation:

Remove Sync

1. Navigate to the respective work item in the project.
   
2. Click the Jira widget in the item's right navigation bar.
   
3. Click Remove Sync.
   
4. Confirm your action and click Remove.
   

Disable Jira extension

1. Click the gear icon at the top-right. The settings window will appear.
   
2. Click All under the Marketplace section. Navigate to installed extensions tab and all installed extensions list will appear.
   
3. Click Jira for Zoho Sprints.
   
4. Click Disable. 
   
   

Uninstall Jira extension

1. Click the gear icon at the top-right. The settings window will appear.
   
2. Click All under the Marketplace section. The listing page will appear.
   
3. Click Jira for Zoho Sprints.
   
4. Click Uninstall.
