I'm thrilled to bring you an invaluable tip this month. Data duplication often poses a challenge in CRM tools, impacting accuracy and efficiency. Today's tip is your solution to combat duplication in your Bigin account. Get ready, because here are two strategies to tackle this issues head-on.  


Option 1: Duplicate Cleanup

Our latest feature of Duplicate Cleanup simplifies the process of identifying and merging duplicate records. This tool scans your contacts or companies module based on your selection, using predefined criteria such as email, mobile, company or any unique field of your choice. For instance, imagine having multiple entries for the same contact- Sarah Jones with different email addresses. Using Duplicate Cleanup you can swiftly recognize these duplicates and merge them into a single consolidated record.

Note: Duplicate cleanup action can only be performed by the admin of an account and it is available in the Premier edition.





Option 2: Using the 'Do not allow duplicates' checkbox

Haven't subscribed to our Premier Edition? Don't worry, we've got you covered as well. By enabling the "Do not allow duplicates" checkbox within the Module Fields and Pipeline Fields will ensure that data entered in these fields remain unique across your Bigin account. For instance, if 'Email' is marked as a unique value, attempting to add a contact or company with an existing email address will trigger an alert, preventing the creation of duplicate records.

 


 

Consider a scenario where the sales team doesn't want duplicate email address to be added into the system. By setting the Email field as a unique value, the system flags any attempt to input an email address that is already existing for a customer in the Contacts module. This prevents accidental creation of duplicates contacts and companies, maintaining clean and organized data.
