Zoho Inventory. Preventing Negative Stock in Sales Orders – Best Practices?

Dear Zoho Inventory Community,

We’re a small business using Zoho Inventory with a team of sales managers. Unfortunately, some employees occasionally overlook stock levels during order processing, leading to negative inventory issues.

Is there a way to automatically block "Confirmed" status for sales orders if any item in the order would result in negative stock? We’re looking for a solution that:

  • Validates stock availability during order creation (e.g., in Draft status).

  • Flags or locks orders with insufficient stock to prevent confirmation.

  • Works automatically without manual checks.

Ideally, the system would:

  1. Check real-time inventory when saving a draft order.

  2. Apply a marker (e.g., "Insufficient Stock") to problematic orders.

  3. Disable the "Confirm" option until stock is replenished or the order is adjusted.

We’d greatly appreciate any guidance on:

  • Native Zoho Inventory features for this (e.g., workflows, validation rules).

  • Recommended third-party integrations or custom scripts.
