Spotlight 16: Privatize ticket classes with access codes


Whether you're conducting an invite-only event or giving special offers to VIPs and loyal customers, you'll need to have private ticket classes that are invisible to everyone but that select few. And what better way for them to access these secret ticket classes than with a secret code?
 
In Backstage, you have the option to do this with minimal to no hassle. Let's look at how.
 

Hide the ticket class 




Once you've set up a specific ticket class for your special guests, you should hide it so that it's not listed in your microsite. You can do this by selecting the Hidden checkbox in the Edit ticket class panel of your Tickets tab. 

Give it an access code




Now that you've hidden the ticket class, you should create an access code for it. An access code is an alphanumeric code that when used will reveal a hidden ticket. You can do this in the Promotional codes tab. 
 
Based on your marketing strategy, you can use multiple access codes for a single ticket class or use one access code to unlock multiple ticket classes. You must also set a redemption limit for the code. Additionally, your code can have a discount, though this is not required. 

Send it to people 




Once you've assigned an access code to your hidden ticket class, you can give it to your VIPs, guests, or prospects. When they enter the access code, they will unlock the hidden tickets that are not available to the public. 
 
You can also send it to people as a link with the access code embedded in your event microsite's URL. When people buy tickets through that URL, the access code will be automatically applied. This could be especially useful during your email campaigns where they can access the tickets through the link instead of having to type in the code. To get the link, click the Copy code link option for that access code in the Promotional codes tab.

Get your analytics 




Track the usage of your access codes and find out how many people purchased tickets to your event using them. You can get details like how many tickets were bought from a particular ticket class, who bought them, and which access code they used. 
Moreover, if you've got two access codes with different discounts for a ticket class, you can also find out how many tickets were bought through each and the total discounts applied for that ticket class through that code by looking at the sales summary in the Registrations tab
