Hosting an event is no small deal. It can take a lot out of you – mentally, physically, and, most importantly, financially. To cover event expenses and compensate for a limited budget, many event organizers look to sponsors for funding. When renowned brands sign on as sponsors, it also boosts your event's credibility and gives it quite a bit of exposure. With sponsorship being so pivotal for the success of your event, you should be prepared to make the most of it.
Backstage has a nice set of features that can help you with this, from creating a variety of sponsorship packages to keeping track of sponsor communication and more.
So how does all of it work?
Create sponsorship categories
When sponsors decide to fund your event, they are essentially partnering with you. As such, you should give them something in return. This way, both you and your sponsors will benefit from the event. This will also provide a way for sponsors to gauge if your event will meet their organization's needs. In Backstage, you can create a variety of sponsorship categories at different prices and with different benefits. Add the benefits that you feel will be most helpful to your sponsors to encourage them to sponsor your event. Once set up, the sponsorship categories will be available in the Sponsors tab of your live microsite so interested organizations can send you proposals from that space.
Customize the sponsor proposal form
Once your microsite is live, people can start sending their proposals by clicking the Become a sponsor button in the Sponsors tab of your microsite. After that, they should fill out the sponsor proposal form to tell you who they are and how they'd like to sponsor your event. Thus, the sponsor proposal form should be designed in such a way that you are able to collect all the answers for your questions about the sponsor. In Backstage, you can ask targeted questions and get a complete picture of your sponsors' requirements by modifying the form in the Form Builder. Choose from a variety of form field types and create a sponsor proposal form that's just right for your event.
Get sponsor proposals
People can send in their sponsor proposals through the microsite or through other channels. You can view all the sponsor proposals in the Sponsor requests tab of the Sponsors tab in the Microsite Builder. You can approve the proposals and add them to your sponsors' list or decline their proposal if you've reached your budget or feel their brand doesn't match your event's goals. You can also add sponsor proposals manually by clicking the Add sponsor request link.
Add and manage sponsors
You can keep your sponsors' list up to date by easily adding them to Backstage. Your sponsors will be listed in the All sponsors tab. You can use the filters to see the sponsors of different categories. You can also add new sponsors by clicking the Add sponsor link. All sponsors will be displayed on the Sponsors page of your event's microsite. The sponsors in the highest tier will also be mentioned on your microsite's Home page.
