Tip of the week #6: Scheduling meetings and events across time zones made easy.

Zoho Calendar gives you options to get notified and change your time zone when you are in a different geo-location. You can also use a Secondary time zone when you regularly work with a team that is seated in a different time zone. Apart from these, you can also choose the time zone for each event you create using the detailed event creation tab.

Primary time zone

The primary time zone you set in Zoho Calendar will be reflected throughout all your Zoho applications. You can check for the time zone and make the necessary changes in the calendar settings whenever you work from a different location. Keeping your time zone updated will ensure that you receive the event reminders on time.

To set your primary time zone, go to Settings > Calendar > Calendar Preferences. Under the Time Zone section, click the Change your Time Zone icon.

Choose the time zone from the list and click Done.

You can turn ON the Notify to update time zone based on current location toggle switch to get notified when you're in a different location.

Secondary time zone

You can add a Secondary time zone to your calendar grid so that you can view your events with respect to the secondary time zone and primary time zone as well. Once your Secondary time zone is set up, both primary and secondary time zones will be displayed on your calendar's time grid.

To set a secondary time zone, go to Settings > Calendar > Calendar Preferences. Under the Secondary time zone section turn ON the Enable secondary time zone toggle switch.

You can choose the secondary time zone from the list or you can also choose the Default time zone to be the secondary time zone and change your primary time zone later and click Done.

Event time zone

You can choose the time zone for each event you create if the event is being held in a different location or the team attending the event is in a different location. The event will be created and displayed in the calendar grid based on your primary time zone.

To pick the time zone for an event, click New event button on the left menu. Provide the event title and pick the date and time of the event. Click on the Time zone, provided next to the date and time field.

Choose the time zone from the list and click Done. Provide other details for the event and click Save.

If you wish to view the time of the event in your primary time zone and the time zone you picked for the event, click on Show Original time zone in the quick view pop-up. To view an event click on the Event title displayed in the calendar grid.

Set your calendar grid for the correct time zone and receive reminder notifications on time to not miss out on an event. Feel free to leave your thoughts in the comments section.
