Tips and Tricks #41: Stay up to the minute with your important files and folders

Hello everyone,

We hope that you are finding our WorkDrive Tips and Tricks series useful. For tips on specific topics, comment below and we'll be sure to get to it.

Today, we're looking at an easy tip on how to follow updates on any important files and folders in WorkDrive.

To stay up-to-date on all changes made by collaborators on your important files and folders, WorkDrive will notify users of any changes via bell notifications and email notifications.

Say you are a sales manager who leads a team of five and maintains a master sales report document where every member of your team updates it weekly. You can follow the particular file to receive a bell notification, email notification, or both (based on your preference) whenever a change is made.

To follow files or folders, follow the below steps:

  1. Select the required files and folders.
  2. Click the More actions icon (...) on the top action bar and select Follow updates from the dropdown. A Follow Updates dialog will open.
[Alternatively, you can right-click the selected items and select Follow updates to open the Follow Updates dialog box
  3. Choose your notification preference: bell notifications (within the product), email notifications, and both bell and email notifications.
  4. Click START FOLLOWING.

For files, you will receive notifications for version updates, renaming, and comments. For folders, you will receive notifications for creating, uploading, adding, or removing actions.

To unfollow files or folders, follow the below steps:

  1. Select the required files and folders.
  2. Click the More actions icon (...) on the top action bar, then select Following from the dropdown. A Follow Updates dialog will open
[Alternatively, you can right-click the selected items and select Following to open the Follow Updates dialog box.]
  3. Select Unfollow.

Note:

  • You can also update notification preferences later by updating the settings to receive bell notifications, email notifications, or both.
  • Anyone with at least viewer or view access can follow files and folders.
  • One cannot follow root folders or primary folders (i.e., My Folders, Team Folders, and Shared with Me). Only the files and subfolders inside the root folders can be followed.
