[New] Enhancements in Duplicates Cleanup and transferring ownership before deleting users.

I hope all of you are doing well. We're delighted to announce a few recent enhancements we've made to Bigin. We'll go over each one in detail.

Duplicates cleanup enhancement 

The Duplicate Cleanup feature enables users to identify duplicate records based on specific criteria and merge corresponding records.
 
With this latest enhancement, notifications have been split into three sections:
  • Feeds: Receive notifications whenever team members mention you in a note or make updates to records you own or follow.
  • Reminders: Receive notifications for reminders you've set for activities you own.
  • System Notifications: Receive notifications when conflicts are found in the duplicate cleanup process.
In this enhancement, we've moved the duplicate cleanup notification to the System Notification section. The system will alert users through the notification section in case of conflicts. Previously, when a user closed the conflicts dialog box, they had to navigate to their email inbox to proceed with the resolution process. Now, this notification is consistently available within Bigin, enabling users to address conflicts instantly without leaving Bigin. This notification will be available in the system notification section for three days.
 

Notes
  • This option is enabled for Contacts and Companies module only.
  • Users with Free and Express editions only have access to the Feeds and Reminders sections.
  • Users with the Premier edition and Zoho One will have all three sections—i.e., Feeds, Reminders, and System Notifications.

Transfer ownership before deleting users 

When a user is removed from the Bigin account, it's crucial to ensure that any records assigned to them are handed off to other users. With this new enhancement, we've enabled admins to transfer the ownership of the records while deleting a user's account.

Admins have two options while deleting a user:
  • Deletion without transferring records:
    Choose this option if the records are co-owned by other users in the organization.
  • Deletion after transferring the records:
    • Transfer and then delete all currently open records (in the Deals and Activities modules) under the user's ownership. (Note: Closed records that were owned by the deleted user will still display the user's name).
    • Transfer and then delete any assignment-related configurations within the record, such as workflows, owner assignments, and field updates.
    • Transfer and then delete all rule-based criteria associated with the user (if the user is a record owner), including custom views and workflows.
