Create and manage timesheet

Timesheet in Zoho Sprints is a useful to record and monitor the work hours for work items and sprints. It enables you to measure the completed work in terms of hours.

Note: Timesheet can be accessed only when the module is enabled for your workspace within the Feature Preference settings. 

Add log hours

Adding log hours is synonymous with creating a timesheet.

To add log hours:
  1. Open the required project.
  2. Go to the Timesheet module.

  3. Click the +Log Hours button. The timesheet creation form will appear.
  4. Select the sprint for which the log is added.
  5. Select the user. (Your name is selected by default.)
  6. Search and select work items for which the log is added.
  7. Enter details like log date, log time, billing status, and release (if applicable).
    1. Enter a log date which falls between the project creation date and the current date.
    2. Enter log time in one of the supported formats or switch to start and end time to select the respective values.
  8. Click the Create button. The log hours will be added to the timesheet listing page with the entered details.
Notes
  1. You can add logs under the following log types: items, meetings, and general. Switch these view types to view relevant logs.
  2. You can customize the creation form to include more custom fields that capture specific information. Go to Settings to customize the layout. Learn more.
  3. You can log hours for other users based on your profile permissions.

Add weekly logs   

Log the total work hours in a week as a whole using the Add Weekly Logs option.  
 
Idea
A scrum team works on a sprint, and they're entitled to log their work hours as they're used to calculate billing, analyze the budget expenditure, and optimize resource allocation. However, adding log hours for individual items one by one can be time-consuming and tedious. With Weekly log hours, you can log hours for multiple dates across log types in a single window. This is a time-saving and efficient way to add log hours.

Benefits   

  1. Allows you to add multiple logs in a single window.
  2. Allows you to select different log types for each log. 
To add weekly logs:
  1. Open the required project.
  2. Go to the Timesheet module.
  3. Click the dropdown beside the +Add button and select Add Weekly logs. The timesheet creation form will appear.

  4. Select the user. (Your name is selected by default.)
  5. Search and select work items for which the log is added.
    Note: If the log hours are not related with any work item, you can choose General under the Select Entity column and add the log hours accordingly.
  6. Check the Billable checkbox if the worked hours need to be billed.
  7. Log the hours worked under the respective dates.
  8. Click the Save button. The log hours will be added to the timesheet listing page with the entered details.

Timesheet views

The timesheets are displayed in a grid that resembles a calendar with an option to choose daily, weekly, monthly, yearly, and quarterly views. In the list view, timesheets are presented in a regular list format.
  1. Grid view provides log details based logged and all users. The total log hours and the average are displayed. You can select the calendar options to change the calendar view. You can use the log type dropdown to view item logs, meeting logs, and general logs separately.
  2. List view presents details based on user or date. The sprint, billing status, approval status, and log hours are available along with username and log date. You can use the log type dropdown to view item logs, meeting logs, and general logs separately.
  3. The expand and collapse option allows you to show or hide data.
  4. The View by options include User and date based on which the data will be displayed. 

Edit log details

To edit log details:
  1. Go to the Timesheet module.
  2. Select the required sprint.
  3. Click the log to be edited. The log details page will appear.
  4. Make changes to the details.
  5. Click the Update button. The changes will be saved.
Alternatively, you can update multiple timesheets at a time using the bulk actions.
  1. Click the checkbox to select log hours.
  2. Select the Update button.
  3. Select the required field.
  4. Change the value.
  5. Click the Update button. The log hours will be updated.

Delete log hours

To delete log hours:
  1. Go to the Timesheet module.
  2. Select the required sprint.
  3. Click the log to be deleted. The log details page will appear.
  4. Click the delete icon in the right-side menu bar. A confirmation pop-up will appear.
  5. Click the Delete button. The timesheet will be deleted from the listing page.
Alternatively, use the bulk action on the listing page to delete multiple timesheets. Select the checkbox and click Delete.

Approve or reject logs

You can setup an approval process for your timesheet. Click the Settings icon and select Timesheet under Workspace Settings. Or, click the view dropdown and select Timesheet Settings.

To approve timesheet:
  1. Go to the Timesheet module.
  2. Select the required sprint. The logs added for the sprint will appear.
  3. Click the Pending status. The dropdown will appear.

  4. Select Approve. The log will be updated.
To reject timesheet:
  1. Go to the Timesheet module.
  2. Select the required sprint. The log added for the sprint will appear.
  3. Click the Approve status. The dropdown will appear.
  4. Select Reject. A text editor window will appear.
  5. Enter the rejection notes. This helps register the reason for rejecting the log.

  6. Click the Update button. The log will be updated.
Notes
  1. Only the Admin and Sprint Owner can approve or reject the log hours.
  2. Only the Admin and Managers can approve or reject the log hours for the work items in the backlog.
  3. Approval and rejection can be performed in bulk.
