Control who sees Timeline and Interactions in Zoho CRM through Profiles

Dear All,

In a CRM, not all users would require access to the history of a record. For instance, a Marketing Operations Specialist like Terry Wilcon only needs current deal details - such as the amount, stage, and their expected closing date - not their past interactions or changes, which would only be relevant to the sales department.

It is to enforce this that we’re introducing this new feature that lets admins set profile-based permissions for viewing record Timeline and Interactions. This ensures data is visible only to the right roles, supporting the principle of least privilege and offering granular control across modules.

What’s Changed?

Previously, all users in Zoho CRM who could view a record could see its history and interactions across modules. Now, with profile-based permissions, an admin has the flexibility to enable or disable Timeline access per module for different users, based on their responsibilities and the level of detail they need.


Configuring these new permissions is simple, and it can be done through Profiles in Zoho CRM.

  • Only users in custom profiles can have this permission configured. Admin and Standard profiles will have this permission locked (grayed out) and it is always on.

  • Timeline visibility settings will also extend to Canvas views. If a user does not have access to the Timeline, they will see an error message when attempting to view it.

  • The new permission setting governs both Interactions and Upcoming Actions. If Timeline access is disabled, users won’t be able to view interactions or upcoming actions associated with that record.
