Manage control over Microsoft Office 365 integrations with profile-based sync permissions

Greetings all,

Previously, all users in Zoho CRM had access to enable Microsoft integrations (Calendar, Contacts, and Tasks) in their accounts, regardless of their profile type.

Users with administrator profiles can now manage profile-based permissions for Microsoft Office 365 integrations. We've introduced this set of permissions under Profile Permissions for all profiles (administrator, standard, and custom). This enhancement paves the way to controlling which profiles can access and managing Microsoft-related data.

How to modify profile-level Microsoft integration sync permissions

  1. Navigate to Setup → Security Control → Profiles
  2. Click on the profile name for which you want to manage Microsoft permissions and go to the Microsoft section.
  3. Use the toggle to enable or disable the required permissions—Calendar, Contacts, and Tasks.

How to enable Office 365 for your modules

Note: Office 365 integrations are available for the CRM modules: Meetings, Contacts, and Tasks.
  1. Navigate to Marketplace → Integrations → Microsoft.
  2. Click Enable under the module you want to set up the sync for.
  3. Enter your Microsoft credentials and log in.
  4. Set up the corresponding sync configuration.
By default, these permissions are enabled for the system-defined (original) administrator and standard profiles, and they cannot be modified for these profiles.


Privileges and restrictions

  1. Admin: Users with administrator profiles can enable or disable Microsoft permissions for custom profiles and thereby control access and ensure sync pauses without deleting existing setups when disabled.
  2. Permission-restricted custom profile: The custom profiles for which the administrator has restricted sync permissions, will have their Microsoft sync Enable button inactive.

  3. Permission-granted custom profile: Users with this profile will have access to Microsoft sync with their CRM for the corresponding permissions granted by an admin profile, which may include Meetings, Contacts, and/or Tasks.

  4. Permission-disabled custom profile: The sync pauses when permission is disabled for users who have previously enabled the sync.

  5. Permission-restored custom profile: The paused sync automatically resumes when the permission is re-enabled.
