Share forms with your team to collaborate better

Collaborating and communicating as a team gets things done faster and increases productivity. That's why we're excited to announce our form collaboration feature, where you can share your forms privately with select users and co-edit them together. 

What's a collaborator in Zoho Forms?

A collaborator is a user in your organization who can co-edit a form alongside the owner. By adding a collaborator, you can grant access to users in your organization to help you create a perfect data collection form. This gets rid of the back and forth that you might have been doing by transferring form ownership to others if they needed to work on a form that was owned by you. 

How does it work?

The collaboration is set up while sharing the form privately to your organization users with specific permissions. Zoho Forms gives you a choice between a share where the users can view and submit the form, or they can be a collaborator and edit the form fields, settings, and more.



This means that the collaborators can edit the form while you chat with them, allowing your team to get things done faster, without having to switch tabs for communication. 



To share a form with a collaborator permission, all you have to do is choose the Modify Form permission while sharing the form privately with a user. You can also add (up to 3) or delete a collaborator any time you feel the need to. You can find help on the new collaboration feature here. 

Limitations

Since this is a collaboration function, not all settings can be accessed by a form collaborator. For your quick reference, here's the list of actions a collaborator can perform for a form that they have access to:
  • Access and submit
  • Builder (except Payment and CRM fields)
  • Rules
  • Themes (except Saved Themes)
  • Settings (except Document Merge and Manage Form Attachments)
  • Share forms
  • All Entries (can view only their entries under My Entries)
A collaborator, however, will not have any access to your form's integration settings and approval workflows, and cannot give other users the Modify Form permission.
