List View

You can view appointments and related details from the list view. Navigate to the required day, week, or month, to find appointments listed based on the appointment date. Search and filter options are available to customize the view.

Appointment Breakdown

 Day View 

  • The Day View displays all appointments which fall on the selected date, and are listed based on the appointment time. You can navigate to the required date using the arrows.   

 

 Week View  

  • The Week View displays all appointments that fall in the selected week, which are listed based on the appointment date. You can navigate to the required week using the arrows.  

   

 

Month View 

  • The month view displays all appointments for the selected month, which are listed based on the appointment date. You can navigate to the required month using the arrows.

 

 


Navigate
  1. You can view appointments of any day, week or month by using the arrows near the date. The middle arrow opens up a calendar from which you can choose the required date.

   

 

Customize View 

Choose & Reorder Columns 

  1. Various columns present additional information about appointments such as the booking ID, service name, customer name, payment details, and so on. You can choose which information has to be displayed in this view. You can also arrange the columns in your desired order. 

 

 To choose columns for the view  

  1.  Click this  icon on the top right corner of the list.  

  2.  Choose the required columns. 

  3.  Select Apply 

 NotePlease note that at least two columns have to be chosen. 

   

 To reorder columns for the view 

  1.  Click this  icon on the top right corner of the list.  

  2.  Drag and drop this icon which is at the left of the column names. Reorder the columns. 

  3.  Select Apply. 

 

 

 

Use Filters

  1. You can filter the view by choosing appointments for a workspace, a service, a staff, and or appointment status. For example, if you want to view upcoming appointments for Kenneth, you can choose Kenneth from the Staff drop-down and Upcoming from Status drop-down.    

 Note: Please note that you can also choose multiple options for each dropdown

Search across appointments 

  1. You can search across the appointments that are shown in the current view by clicking the search icon  at the top of the list. 

 

 

 

More Actions 

Update Appointment Status 

  1. You can change the status of any appointment in the list by under Status column. Click the three arrow and make the required change. Learn more about Appointment Status here.

 

 

Export

  1.  The appointments list shown in the view can be exported for your future reference. It can be exported as an Excel or CSV file.  

 NotePlease note that when a filter or search is applied to the list, the exported list will also reflect the same. 

   

To export the view

  1. Click Export in the top right corner.

  1. A pop-up window appears.

    1. File Name: Give any desired name for the file to be exported.

    1. Export As: Choose whether to export as .csv or .xlsx file.

    1. Select Columns: Tick the fields that should be included in the exported file.

    1. Include Custom Fields: Select the checkbox if you want the exported file to have the custom fields.

      Note: Fields marked as ePHI and PII will not be exported.


      3. Click Export and your file will be downloaded. 

Add Appointment

  1. New appointments can be created for the selected date by clicking the + Add Appointment button on the top right corner. For example, when customers call or send an email requesting an appointment, you can add appointments on their behalf.

 

 


Enter the booking details and click Add Appointment.

 

 

Appointment Breakdown 

Total appointments

  1.  The total number of appointments for the selected view is shown here. When you click, it shows the count of appointments in each status (Completed, Yet to Mark, Ongoing, and Upcoming). 

 

Estimated revenue

  1. Here, the estimated revenue generated by the appointments in the current view is shown. When you click, it shows the payment received (Paid) and payment due (Due) separately.

 

 

Appointment Summary 

  1. To view complete details of a booking, click on the appointment. This will take you to the Appointment Summary page. This page has various sections displaying unique information.

 



 They are as follows:

  1.   Customer Information â€“ This section contains customer details like Name, Email and Contact Number.  

 

 

  •  Update Status â€“ This section shows the appointment's current status. It also allows various actions on an appointment – RescheduleCancel, mark as Completed and mark as No Show. 


 

  •  General Info â€“ This section contains details like Date, Time, Duration, Service, Staff Assigned, and other related details.
     

  •  Payment Details â€“ This section contains payment details like Service Amount, amount Paid and amount Due.  Learn more about Payment Status here.

 

 

 

  •  Online Meeting Details â€“ This section has meeting details like meeting Start Link, meeting Join Link and Meeting Key. 
     

 

 

  •  Additional Info â€“ This section contains information on custom fields that were added to the booking form 

 

 

 

  •  Other Actions â€“ The other actions that you do in this section are: 

    1. Print the Appointment Summary
    2. Open the Booking Summary page (Share icon) and
    3. Close the Appointment Summary page 



    4. 
    Delete Appointments

    Cancelled appointments can be deleted by selecting the delete icon as shown below.

           

Note: Closing the appointment summary will direct you back to the List View (Day/Week/Month) previously selected.
