Customizing email notification in portals

To improve email deliverability, we will be following Gmail's updated sender email policy starting from February 1, 2024. This means that Gmail addresses cannot be used as a sender address in the send mail tasks. Learn More
Availability
  1. Email notifications in portals can only be created in Creator paid plans.
  2. Email notifications in portals can be created and managed by the super admin, admins, and developers, while other users can access, view, and edit them with relevant permissions.

3. Customising "From and Reply to" email address

3.1 To select the default email address

  1. Navigate to the Portal tab on the left and open Email Notification.
  2. Select the dropdown under From and Reply To email address.
  3. Select Default Email Address.

3.2 Steps for adding "From and Reply To" email address

  1. Navigate to the Portal tab on the left and open the Email Notification settings.
  2. If your domain is authenticated and your email address is verified, select it from the From and Reply-To dropdown fields. If not, proceed to step 3.
  3. Go to Email Management under Operations and add email address.
  4. Click Send Code from the ellipsis next to the email address to receive a verification email.
  5. Enter the received verification code to complete the email verification process.
  6. Validate the domain under Domain Authentication. Learn how to validate your domain here.
  7. Return to the Portal tab, choose the portal and go to Email Notification, and select the verified and validated email address from the From and Reply To email address dropdown.

3.3 Steps for adding a new email address with authenticated domain

  1. Navigate to the Portal tab on the left and open Email Notification settings.
  2. Click + Add Email Address.
  3. Enter the email address and select Send Code.
  4. Verify the email by entering the received code.
  5. Once verified, select the email address from the From and Reply To email address dropdown.

4. Customizing email notification templates

  1. Choose the desired portal and switch to the Email Notification tab.

  2. First, select Edit, next to the email template you want to customize.


  1. Now, after the editor opens up, you can make any desired changes to the email templates.


4.1 Merge fields 

Here's a comprehensive set of features available in the editor, to help you fully explore and maximize its potential:
  1. Available Merge Fields: Email templates provide dynamic elements to enhance email content and personalization. You can select a field here.
  2. Select Field: You can select the field you want customized and add dynamic values to your email from this field.
  3. Copy Merge Field Value: The merge field value will be displayed here, where you can copy it and use it in your email.
Available merge field values:
  1. ${Portal.APP_NAME} - returns the app name of the portal
  2. ${User.FULL_NAME} - returns the name of the portal user
  3. ${Portal.DOMAIN_NAME} - returns the domain name of the portal
  4. ${Portal.ADMINISTRATOR} - returns the name of the portal administrator
  5. ${Portal.SUBDOMAIN_NAME} - returns the subdomain name of the portal
  6. ${Portal.LINK_NAME} - returns the application link name
  7. ${Portal.DISPLAY_NAME} - returns the display name of the portal
  8. ${Link.PORTAL_URL::Portal} - returns the url of the portal
    (applicable except to the reset password template)
  9. ${User.EMAIL_ID} - returns the email address of the user
    (applicable except to the approval template)
  10. ${Link.ACCEPT_PORTAL_INVITATION::Create New Password} - returns the link to accept a portal invitation
    (only applicable for the invitation template)
  11. ${OTP.VALIDITY_TIME} - returns the validity time of the OTP
    (only applicable for the reset password template)
  12. ${OTP.VERIFICATION_CODE} - returns the specific OTP
    (only applicable for the reset password template)
  13. ${Link.RESET_PASSWORD_URL::Reset the password} - returns the link to reset a password
    (only applicable for the reset password template)
  • Subject: You can enter the subject of the email here.

4.2 Formatting the email 

Here's a list of formatting options available in Rich Text mode
  • Bold

  • Italics

  • Underline

  • Strikethrough

  • Font color options

  • Background color for text (Text highlight)

  • Font face options ()

  • Font size options

  • Superscript

  • Subscript

  • Alignment options

  • List options

  • Indentation for text and lists

  • Insert quote

  • Remove formatting

  • Insert table

  • Insert horizontal line

 

Other than the formatting options available, you can also insert the following in your emails:
  1. Hyperlinks - Directs a selected portion of the text to the linked URL or email address.
  2. Remove link - Removes a link added in the email.
  3. Images - Inserts images either from disk storage or directly from the web.
    The image is added as a URL, and you can customize the size and alignment while uploading it in Creator. 
Click Save to retain the changes you've made. Now the customizations you've made will be implemented in the emails sent from this template from now on.

5. Points to note

  1. The number of emails you'll be able to send depends on your pricing plan.

  2. You can easily track how many emails, you have sent and you're remaining quota, by navigating to the Billing section.
  3. Portal users will not be able to reply to emails sent from the default email address.
