Configure Sync to External Calendar

Learn how to sync your report with external calendars. All your events will be synced automatically to keep your calendar up to date.
Note: Sync to an external calendar is only applicable for published reports.
Availability
- Sync to external calendar is only available in the paid plans of Creator.
- Only the super admin, admins and developers can enable 'sync to external calendar'.

1.3. How to get Sync to external calendar URL (iCal URL)
To get Sync to external calendar URL:
- Navigate to the live mode of the report that was published.
- Select the More Options icon in the top-right corner of the report.

- Select Sync to external calendar in the drop-down.

- Select the dropdowns to map your fields. Select the field that should be used as the title for the event, Start Date for the start time, and End Date for the end time to sync with your external calendar.

- The iCal Feed URL will be generated. Click Copy URL and paste it into your preferred calendar app that supports .ics format.

1.4. How to sync a Zoho Creator report with external calendars
1.4.1. Zoho Calendar
- In Zoho Calendar, navigate to Settings > Subscribe.
- Select Web URL as the subscription type.
- Paste the copied URL into the field.
- Click Subscribe to complete the sync.
1.4.2. Google
- Open Google Calendar and go to Settings.
- Click Add calendar > From URL.
- Paste the copied URL into the input field.
- Click Add Calendar to complete the sync.
1.4.3. Apple
- In Apple Calendar, go to File > New Calendar Subscription.
- Paste the iCal subscription link and click Subscribe.
- Click OK to confirm and add the calendar.
1.4.4. Microsoft Outlook
- Click Add calendar in Outlook.
- Select Subscribe from web.
- Paste the iCal subscription link.
- Enter a name in the Calendar name field.
- Click Import to complete the sync.
2. Points to note
- All report types are supported in Sync to External Calendar, except pivot chart and pivot table reports.
- In some instances, the resulting iCal URL may become too long for a calendar application to read. In such cases, you need to use any external URL shortening tool and then add the shortened URL to your calendar application.
- The export limit is 50,000 records per request.
- If a report exceeds this limit, only the top 50,000 entries displayed in the report will be exported.
- To copy the ICS file, paste your iCal feed URL into your browser’s address bar. The .ics content will be displayed, which you can then copy manually.
- External applications, including Google Calendar and Zoho Calendar, will periodically sync data fetched from Zoho Creator.
- Future synchronization will be stopped if any changes are made to fields configured in the URL. This includes deleting a field from a form, changing a field’s link name, deleting a field in reports, or enabling encryption with masking. It is recommended to review and plan such changes in advance to avoid disrupting ongoing sync processes.
