Zoho CRM field

The Zoho CRM field is a lookup field that helps you fetch data from a Zoho CRM module and prefill your form fields. Prefilling forms with data simplifies the form filling experience for your respondents and saves time. You can also push form entries to Related Lists associated with existing records or update existing records in Zoho CRM using this field. 

Adding Zoho CRM Field

  1. In your form builder, add the Zoho CRM Field from the Form Fields in the left pane in your form builder. 
  2. In the pop-up, choose the required Module, Layout, and Field to lookup from Zoho CRM.
    NotesNote: Set the required field to look up as mandatory or as a unique field in the respective Zoho CRM module to view it in the list of fields to look up while configuring the Zoho CRM field. 
  3. To prefill your form fields with the values fetched from Zoho CRM, select the option to map fields and map the Zoho CRM fields with the corresponding Zoho Forms fields, as shown.
    Idea
    If you have assigned numeric/text values to the choices in your form, you can prefill the choice based fields with the assigned values.

  4. If you have a Subform in Zoho CRM, you can prefill it in Zoho Forms by selecting + Add Subform to choose the required Subform and map the Zoho CRM Subform fields with the corresponding Zoho Forms Subform fields.

    NotesNote: 
    1. You can add a maximum of 5 Subforms by clicking + Add Subform.
    2. Each Subform can hold a maximum of 25 fields.

  5. Click Save.

    For example, if your respondents search for a particular Zoho CRM record using a unique key, such as Last Name (as configured above), when the record is found, the mapped values in the Zoho CRM field setup will be auto-filled into the form fields.
    The First Name, Phone, and the Email fields are automatically populated with data from the Zoho CRM record as shown below. User can further modify the auto-filled values, and fill out the other form fields.

Using the Zoho CRM Field 

The Zoho CRM Field can be used to: 

  • Update a record in Zoho CRM: When you share your form privately within an organization, you can use the Zoho CRM field in the form to look up records from a CRM module and prefill the forms. Your respondents can view and update the values in the form, and the records will be updated in the CRM module. Learn more
  • Add a related list in Zoho CRM: When you share your form privately within an organization, you can use the Zoho CRM field in the form to look up records from a CRM module and push the form entries to a Related List associated with that record. Learn more
  • Share prefilled forms from Zoho CRM: You can distribute prefilled public forms to a contact list in Zoho CRM and update records or add a related list.

Supported Field Types

While configuring the Zoho CRM field, you can look up the following fields in Zoho CRM:
Single Line, Email, Phone, Pick List, Long Integer, Number, URL, Auto-Number, Formula with String as the Formula Return Type
