How to Restore Deleted Employee Records in Zoho People

When an employee record is deleted from the Employee form, it can be restored from the Recycle Bin. As part of the deletion process, the associated user login is automatically disabled. After restoring the employee record, the user login remains in the Login Disabled state and must be manually re-enabled to allow the employee to access Zoho People again. Deleted employee records are available for restoration only within the configured recycle bin retention period.

Who can restore deleted employee records?

Users with the administrative permissions to access Data Administration and Recycle Bin can restore deleted employee records.

Restore a deleted employee record

  1. Navigate to Operations > Data Administration > Recycle Bin.
  2. Select the Employee from the dropdown.


  3. Locate the deleted employee record.
  4. Use the available filters or search options to quickly find the required record.
  5. Select the employee record.

  6. Click Restore.
    Confirm the action when prompted.

Re-enable the employee's login

Deleting an employee record automatically disables the user's login to Zoho People. After restoring the employee record, the login must be enabled manually.

To enable the login:
  1. Navigate to Settings > Manage Accounts > Users.
  2. Click on the Login Disabled tab.


  3. Locate the restored employee record.
  4. Click Enable Login toggle button.
The employee can now sign in to Zoho People again. 

Limitations of restoring an employee record

When an employee record is restored from the Recycle Bin, the following limitations apply:

  1. Reporting manager: If the employee's reporting manager is inactive, the reporting manager mapping will not be restored.
  2. Sample data: Sample employees are not moved to the Recycle Bin and cannot be restored.
  3. Employee files: Files associated with the employee in the Files module are not restored.
  4. Shared views: Custom views associated with the employee across system and custom forms will not be restored after the employee record is restored.

  5. Task ownership: Tasks owned by the employee are not restored.
  6. Onboarding data: Onboarding information associated with the employee is not restored.
  7. Biometric ID Mapping associated with the user will not be restored.
  8. Compensation information related to the employee will not be restored.
  9. LMS information related to the employee will not be restored.
