Continuous Review - Settings
What is Continuous Review?
A Continuous Review is an ongoing performance evaluation process that facilitates regular feedback on employee performance throughout the year, rather than just once annually. This approach results in a more accurate evaluation of employee performance and focuses on tracking progress towards their goals and promoting continuous development.
In Zoho People, the Continuous Review can be set to run monthly, quarterly, or semi-annually. During the review period, employees can evaluate their own performance and provide a rating (Self-Review option must be enabled) and the assigned reviewer can provide rating on the employee's performance.
The overall score from the continuous review cycles that occurred within the appraisal evaluation period can be used to assess the final performance appraisal rating for an employee.

Key elements of a Continuous Review
Evaluation Parameters: Evaluation parameters in Continuous Review are specific criteria used to measure employee performance during the review period. The following evaluation parameters can be selected based on your organization's chosen primary performance evaluation method:
- KRA (Key Result Areas)
- Goals
- KRA and Goals (KRA and Goals will be enabled as independent methods)
- KRA vs Goals (Goals will be associated with KRAs as a linked method)
- Competency
- Review Questions
Self-Review: Employees can assess their own performance based on their achievements and challenges.
Manager / Peer review: Managers or reviewer provides the feedback on the employee’s performance during the review period.
The average score of Self Review and the Reviewer can be considered for final appraisal rating.
Enable and Set up Continuous Review in Zoho People
The Continuous Review feature is not active by default. To enable it, the following settings must be configured.
To set up Continuous Review:
- Navigate to Settings > Performance > Configuration > Performance Methods, ensure that the required primary evaluation method (KRA, Goals, KRA and Goals, KRA vs Goals or Competency) is enabled for your organization. For more information on evaluation methods, refer to Performance Methods.
- Navigate to Settings > Performance > Configuration > Continuous Review.

- Enable Continuous Review.
- In the Configure Review section, set up the continuous review process to be followed in your organization.
Select any of the following evaluation methods for Continuous review.
The listed parameters are based on your organizations' selected primary performance evaluation method.
Review Questions: Review questions tagged to employees are considered for evaluation.
Review Questions can be tagged to employees in Operations > Performance > Methods > Review Questions.
- Competency: Competencies tagged to employees are considered for evaluation.
- KRA: Only KRA tagged to employees are considered for evaluation.
- Goals: Only Goals tagged to employees are considered for evaluation.
- KRA and Goals: KRA and Goals tagged to employees are considered for evaluation
KRA vs Goals: Goals will be associated with KRAs as a linked method and are considered for evaluation.
Goals and KRAs applicable for employees within the continuous review cycle period are listed for evaluation. All available Review Questions and Competency will be listed for evaluation.
- Select the Include Pending Goals checkbox to include employees' incomplete goals for review.
- Select the continuous review frequency:
Monthly: Reviews are conducted every month.
Quarterly: Reviews are conducted every 3 months.
Half-yearly: Reviews are conducted every 6 months.
Yearly: Reviews are conducted once a year. Select the review period for the chosen continuous review cycle frequency.
This is the duration for which your employees will be evaluated for in each review cycle. Typically, it will be from the first day of the review period to the last day. However, you can choose other days if needed. For example, in quarterly evaluation, if you select period of review as 5th of every quarter, the evaluation period will be from the 5th of the first month to the 4th of the last month. Goals and KRAs within this period are listed for review.
- Enable and Configure Self Review:
- Based on your organization's needs, you can enable or disable employees' self-review. When enabled, employees can rate their own performance during the continuous review based on their achievements within the review period.
- Define the Self-Review period within the continuous review cycle. (This period should be before manager or peer review)

Enable the necessary self-review email notifications and customize the notification template to your organizational preferences.
- Configure Manager / Peer Review
- The reviewer feedback in Continuous Review is mandatory.
Select the reviewer, the reviewer can be the employee's
Technical Lead,
Appraisal Facilitator,
Mentor, Reporting or Secondary Reporting Manager.

Selection made in Select Reviewer field will be a lookup field in the employee form.
Define the Manager / Peer review period within the continuous review cycle
In the continuous review cycle, the manager / peer review takes place after the self-review. If self-review is disabled, only the manager review will occur.
- Enable the necessary manager-review email notifications and customize the notification template to your organizational preferences.
- Configure Continuous Review applicability.
- Manage for whom the Continuous review is applicable for in your organization. You can manage the applicability based on Department, Designation, Location, Roles, etc. You can also choose to exclude certain employees using the Exemptions option.

- Select the Continuous Review evaluation type.
You can choose between two rating options, Number-based or Text-based, based on your organizational preference.

- For Number Rating: Set a range from 0 to 10.
- For Text Rating: Define a rating scale from 1 to 5 (e.g., Unsatisfactory, Needs Improvement, Satisfactory, Excellent, Outstanding). You can add up to 10 rating texts.
- Enable comments to allow reviewers to provide feedback after rating the listed evaluation parameters. You can also make comments mandatory and set minimum characters to be provided by the reviewers.
- Set who can publish Continuous Review final results. You can allow the final reviewer, such as the reporting manager or other employee field–assigned reviewers, to publish the final ratings to employees. By default, administrators can publish the final results.

- Finally, click Save.
The setting will be saved successfully and you will see the Self and Manager review commencement dates at the top of the settings page.

Continuous Review Cycle Paused Automatically
The continuous review cycle will be paused if no self or manager reviews has been submitted for past three review cycles. To continue the continuous review process you must resume the continuous review.
To resume the continuous review, navigate to Settings > Performance > Configuration > Continuous Review, click on Resume Now and click Confirm. The continuous review will be resumed and be available from the upcoming review cycle based on configured settings.
To proceed continuous review with a new configuration, disable Continuous Review and enable it again. This can be done after resuming Continuous Review.
