Tip #09: Let your clients take out personalized copies of a document by filling in a form.

Writer is integrated with Zoho Forms to let your clients collect their personalized copies on the go. All they have to do is fill out a form. 
 

In this post we'll talk in detail about how Writer can help you automate everyday paperwork and save time. 
 
Let's consider the below scenario. 
 
It's 9:30 A.M on Monday and three of your employees have requested for their Bonafide Certificates. 
 
Traditionally, delivering personalized documents for your employees would first require you to get the necessary information from them. This can be a back and forth process if you don't get all the information at once. Finally, after receiving all the data you need, you'd have to craft documents for each employee individually, which can be a strenuous and time-consuming task. 
 
Despite your busy schedule, here's how Writer can help you deliver the requested Bonafide Certificates in a jiffy.
 
1. Open the template document.


 
 
2. Go to  More Options > Automate tab > Merge on form submission.



If you haven't set up your Zoho Forms account yet, the pop-up will ask you to login. Learn more about this  here .

 3. Click on  Create a new form  in Writer and you will be redirected to Zoho Forms.




4. Now create a form with the personal fields required for the Bonafide Certificate and click  Save.


 

5. The forms you've created in your Zoho Forms account will automatically show up in Writer. Now select the form you want and click  Link Form. 


 

The form fields will now get linked to your Writer account.



 

6. Place the form fields across your template document. 


 

7. After you've placed the fields, you can choose what to do after your employees collect their personalized copies of the document. 
 
a) Save a copy to a folder - This will automatically save each client's personalized copy to a folder of your choice.

b) Email the document - This will send the personalized copies of the document via email to multiple recipients. 

c) Send for signature - This option lets you configure your sign workflow and sends the personalized copy of the document to recipients or other signatories for signature collection.

d) Push data to Zoho Sheet - The details entered by your employees in Zoho Forms will automatically be pushed and stored in Zoho Sheet.

e) Allow respondent to download the document - This lets your employees download personalized copies of the document after they fill the form created in Zoho Forms. 




8. After you've chosen your output options, click on Share Form to share the URL of the form you created with your employees. 


 
Now all that your employees have to do is fill the form you created in Zoho Forms and they can download a personalized copy of the template document themselves.



  

 
And would you look at that, it's only 9:45 AM on Monday and you already have three happy employees :)
