Tip #16: Sobre las plantillas de correo electrónico

Bienvenidos una semana más de la serie de Tips and Tricks para CRM de Español Zoho Community. ¿Acabas de llegar? Te sugiero que te pases también por los anteriores.

Esta semana vamos a comentar otra de las características de las que dispone Zoho CRM. Efectivamente, se trata del envío de correos electrónicos desde la plataforma, y de forma concreta, hoy trataremos las plantillas de correo. ¿Se te ha pasado por la cabeza el tiempo que podrías ahorrar si tuvieses varios correos prediseñados para esas acciones repetitivas de tu día a día? Hoy te explicamos cómo usar las plantillas de correo electrónico en CRM para agilizar esas tareas, sin perder de vista una buena comunicación con el cliente.

Tip #16: Sobre las plantillas de correo electrónico.
Una parte del trabajo del equipo de ventas se basa en contactar con clientes potenciales y contactos a través de correos electrónicos. Las razones pueden variar: desde introducirlos a la empresa, productos y servicios que ofertan, hasta enviarles un presupuesto, pasando por recordarles la próxima visita de uno de los comerciales. Zoho CRM cuenta con varias plantillas de correo asociadas a cada módulo, de forma que dependiendo del asunto del mensaje, podrás encontrar la plantilla "a mano" dentro del CRM. Veamos en un ejemplo el proceso de creación y envío de una plantilla de correo:

Ejemplo: dar la bienvenida a un cliente potencial.
Elisa nos ha contactado a través de la web y sabemos que está interesada en saber más sobre nosotros. Para agilizar el proceso de dar la bienvenida a alguien nuevo (lo cual suele tener un contenido bastante estándar) podemos crear una plantilla de correo. Para hacerlo, sigue los siguientes pasos:
  1. Ve a Configuración > Personalización > Plantillas.
  2. Asegúrate de que estás en la sección de Correo Electrónico.
  3. Selecciona el botón azul de la izquierda de + Nueva Plantilla para crear una nueva.
  4. Selecciona para qué módulo quieres crear la plantilla. En este caso será Posibles Clientes.
  5. Pon nombre a la plantilla y rellena el Asunto del mensaje (o asunto del correo electrónico).
  6. Diseña tu mensaje utilizando el panel de la izquierda, haciendo clic y arrastrando en los elementos que necesitas.


En este ejemplo de plantilla podemos ver varios elementos:
  • Hemos elegido el color blanco para el fondo del mensaje para simular un correo estándar.
  • Hemos insertado una imagen en la parte superior para mostrar nuestro logo.
  • Hemos insertado un campo de texto para construir nuestro mensaje.
  • Hemos añadido una etiqueta de campo con el nombre del posible cliente, introduciendo # y seleccionando el campo que nos interese. Esto personalizará el contenido del mensaje.
  • Hemos colocado un botón con enlace al apartado Nuestros Productos de nuestra página web.
  • Hemos añadido un enlace de correo electrónico para crear un correo automáticamente a la dirección de la comercial.
Podemos guardar la plantilla en una carpeta individual (sólo el usuario que la cree podrá verla) o en una carpeta de grupo (otros usuarios podrán verla).

Una vez creada la plantilla, estamos listos para enviarla. ¿Cómo lo hacemos?
  1. Encuentra el posible cliente al que quieras enviar el correo en el módulo de Posibles Clientes.
  2. Si tienes una tarea pendiente creada para el posible cliente, puedes enviar un correo electrónico haciendo clic en el botón verde de la derecha, de Enviar correo electrónico. Si no tienes una tarea pendiente, puedes ir a la parte superior del posible cliente y hacer clic en el botón verde de Enviar correo electrónico en la parte derecha.
  3. En la ventana emergente de correo electrónico, ve a la parte superior derecha y haz clic en Elija una plantilla.
  4. Escoge la plantilla deseada.


¡Y todo listo para enviar en mensaje!

Este ha sido sólo un ejemplo, pero puedes crear plantillas para cualquiera de los módulos de CRM. Por ejemplo, puedes crear una plantilla para el módulo Tratos que contenga un presupuesto, o adjuntar archivos a las plantillas de correo.

Las plantillas de correo pueden usarse en distintos procesos en CRM, como en reglas de flujos de trabajo o en formularios web, entre otros. Si decides editar alguna de las plantillas, puedes ver si ésta está asociada a otros items de CRM haciendo clic en la parte derecha de la plantilla, en el listado de plantillas (ver paso 1 del ejemplo).
