Tips and Tricks #44: Collect files from people with WorkDrive's collection link

Hello everyone,

We hope you're finding our WorkDrive Tips and Tricks series useful. For tips on specific topics, leave a comment below and we'll add it to our series.

Today, we're looking at an easy tip on how to collect files from anyone on the internet through WorkDrive's Collect Files feature.

The Collect Files feature helps you create a collection link to request files from external users and collect all those files in your WorkDrive folder.

Your external collaborators don't need a WorkDrive account to submit files, and they will not have any access to your collection folder. The link creators can choose the destination folder where all the submitted files will be uploaded.

Use cases: If HR wants job applicants to send resumes, cover letters, or other required files, they can create a collection link to allow applicants to submit those files directly to the company's WorkDrive folder instead of receiving the documents through email.

A company can create a collection link to collect sensitive documents from their vendors for an upcoming project in a specific destination folder. This automatically places submitted files in the relevant folder without any need for manual sorting, which simplifies the process and keeps things organized.

Here are the steps to create an external collection link:
  1. In the left panel of your WorkDrive account, click Collect Files.
  2. Click the + NEW COLLECTION button in the top-right corner. A New Collection dialog will open.
  3. Select the External tab. Enter a collection name and add collection details.
  4. Choose a folder location to store all files uploaded through this link.
  5. Under Request user data, you can also request the user submit their name, phone number and email address with the file, if needed.
  6. Set the file upload limit, file size limit, expiration date, and notification alerts if needed, and click CREATE.
  7. Now copy the link and share it with your external collaborators.

You can also create collection links internally for your team members to submit weekly reports and new ideas. To learn more about the internal and external collections, head over to our Collect Files help article.
