Key Releases

Here’s a roundup of new releases in Zoho Projects:

1. Summary Field consolidates values from multiple fields and presents them as a single result. This is a new addition to our layout fields where you can choose a module, field, and function to summarize, and view the result in the task details page.
   
2. WhatsApp Integration allows you to notify real-time updates to your customers by integrating a WhatsApp Business account with Zoho Projects. You can configure the WhatsApp message template and configure it in workflow rules to trigger notifications on actions.
   
3. Build your own Custom Dashboards to visualize important project metrics, progress indicators, graphs, statistics, and other key performance indicators, to gain a quick overview of all your projects. Custom dashboards provides you the control to design your own dashboards and choose what you want to view, ensuring a better overview experience.
   

 

Zoho Sprints has introduced a few handy features like:

1. Test Management Export allows you to export test cases and their execution details in XLS or CSV formats. Save your test cases and executions for offline access or external sharing.
   
2. Layout rules automate actions on layout fields by dynamically changing the field behaviour based on primary input. We’ve introduced layout rules for releases, where you can configure your release layouts with automation rules.
   
3. Sprint Capacity Planning enables sprint managers to efficiently assign work items to sprint users based on their capacity. This helps balance the workload in teams and improve the overall output.
   
4. Calendar in Global View introduces a weekly and monthly calendar view to track all project activities globally. In this view, you can view the project schedule, work items, sprint, epic, release, timesheet, and meeting.

Auto assign resources as task owners

In Zoho Projects, Resources are equipment that are used to perform project activities. It could be machinery, a licensed tool, or any hardware device.

 

A customer requested Resources to be assigned directly as task owners. We created a custom function and triggered this action using a workflow rule in Zoho Projects. Refer to this post for the complete steps.

 

Notify admin when a user invite is accepted

A portal’s organization admin sends out multiple invites for team members to join. Instead of checking the status of the invite manually, an admin requested that they be notified when a user accepts the invite. This requirement was fairly simple to achieve with workflow rules in Zoho Projects. Explore the predefined workflow rule we created to solve this requirement.

 

Auto-assign tasks on completion

We received a niche request where the user had a bunch of tasks in their project and wanted to auto assign each task, right after the previous one gets completed. We created a custom function to handle this request.

 

Interestingly, @Vivek Rai suggested an upgrade to this use case, where the users to be assigned to tasks could be fetched dynamically. Take a look at the new custom function we suggested in this post.
