Elevating Email Security on Zoho Desk: DKIM Now Mandatory

Hello Zoho Desk Users!

It has been a wonderful journey with you on Zoho Desk. As we welcome 2025, we are strengthening our efforts to ensure a secure and seamless experience for you.

To enhance email security, DKIM configuration will be mandatory for all email domains used in the "From Address" configuration by the end of February 2025. This update aligns with the 2024 Email Authentication Standards: Elevating Security with Google and Yahoo initiative.

Why DKIM?
SPF and DKIM are email authentication protocols to protect your emails operations. SPF verifies the authenticity of emails sent from your domain, while DKIM validates the authorized servers associated with the sending domains.

Implementing DKIM authentication:
  • Prevents emails from bouncing or being marked as spam
  • Reduces the risk of email spoofing
  • Supports smoother email delivery
  • Enhances trust for both senders and recipients
  • Strengthens organizational Email security
What if DKIM is not set?
If the DKIM configuration is not done for your "From Address" in Zoho Desk, the mails sent from Zoho Desk will bounce.

Who is this for?
This applies to all email domains used in the "From Address", owned by your business domains within Zoho Desk.

How to configure DKIM?
Follow the steps in Email domain authentication steps to configure DKIM in website's settings page and in Zoho Desk.

Alternative Methods to DKIM for Email Authentication
It is not possible to configure DKIM for the From addresses hosted on public domains like Google, Outlook, AOL, etc.  For such cases, we mandate you to configure your own SMTP servers for those From addresses.
Notes
Using a custom SMTP address to configure your 'From Address' ensures that all replies and notifications are routed through your email provider.

Email Sending Limits
Email sending limits depend on your email provider's policies. Once you reach this limit, additional emails will not be delivered. For instance, Gmail allows sending up to 500 emails per day from personal accounts and up to 2,000 emails per day from Workspace accounts.

Impact: Exceeding your email provider's daily sending limit will result in undelivered messages. These bounced emails will appear as threads within the related tickets.
Action: Contact your email provider regarding the permitted number of emails per day and possible upgrades to your daily sending limit.

Info
What’s the deadline?
While the original deadline was December 31, 2024, we are pleased to inform you that it has been extended to February 28, 2025. We recommend configuring DKIM records promptly to ensure compliance and enhance security.
Notes
Quick Highlights

We recommend you to Use your own SMTP servers for From addresses in Desk

Case I
: For own domains, From Addresses can be configured using Custom SMTP or Zoho SMTP.
If you are using Zoho SMTP, DKIM configuration is mandatory
If you use your own SMTP server, DKIM is not mandatory.
Case II : Public Email Domain (like gmail.com, outlook.com etc)
SMTP server configuration is mandatory for public email domains, as DKIM cannot be set up for domains not owned by the user.
With everything in place, you can elevate your email experience on Zoho Desk. Thank you for your continued trust and partnership!

Warm regards,
The Zoho Desk Team
