Workflow Rule Execution Based On Status Change
Hi I have seen some information on this, but still am confused about it. I want to have workflow rules that send email alerts if the status of, say a Sales Order, gets changed. So for instance in the Sales Orders, there is a status field to which I have added some custom statuses. When the Sales Order gets changed to "my custom status 1", I want to fire off an e-mail to my accounting department. It seems that when I go to create a rule it will only allow me to execute on Create or Edit (of a Sales
create a report on follow up times
I would like to have a report that shows how often my sales reps are following up leads. Preferably in the dashboard. I can set up a report that shows the total number of touches to a potential, but gives no indication of timing. Is this even possible?

How to add event invite into calendar?
Hello, I might be missing something but when someone sends me an invite through the CRM I do not see how can I add the that event into my own calendar within the CRM. Do I have to type in again all the data into my calendar in order to add it? I'm sure it's easier than that, but I do not see how to do it... any suggestions? Thanks in advanced.

Database backup - Create macro to auto export all data into excel
Hi, I am looking for a solution to automatically backup my database on a regular basis. My line of thinking was to build a macro, that logs into the Zoho CRM then performs the function and emails the CSV file to my email. Is this possible? Would anyone be able to build this macro for a fee? Are there any other solutions to regularly backing up our database locally? Thanks in advance, John

I cannot add a 3rd user in the FREE Edition
I am trying to add a 3rd user, I understand the Roles and Permissions etc... but each time I try to add this third user it says I have reached my limit and will need to purchase the full edition? I go to the Setup panel and it says I only have 2 active users?

Importing Leads
I can't import leads from a Excel spreadsheet or csv file. Everything maps, I don't get any errors. I says the records are added but it doesn't actually add the records. I've tried a spreadsheet at least 10 times and converted to csv and tried that, no luck. I even tried using a few records from a spreadsheet that I have previously imported and it still doesn't work. It's 512 records so no size limitation. I need help! Please advise. Thanks Bryan

I'm the owner of the task and the owner of the zoho document. If I try to attach a zoho doc that I'm also an owner of to a specific task it won't attach.
Date and time formatting Question
HI Team: Problem: The date from an external data base is formatted YYYY-MM-DD HH:MM:SS and to import as a field update into Zoho it needs to be MM-DD-YYYY HH:MM:SS. I have used excel to delimited the Date from the Time Stamp and reversed date format to MM-DD-YYYY (as needed), but when I attempt to concatenate the Date and Time Stamp back together I get the "Text" Format and unable to convert back to Date/Time Format. Is it possible to add one note to more than one account in one action?
Hi, Is it possible to add one note to more than one account? Eg once a month I send out statements. There were 35 this month. I would like to be able to update those particular 35 accounts to show they have been sent a statement. Is there a way of choosing the 35 accounts and inputting a note in to each but as one action? I need help writing a simple formula. It needs to be a currency field that is derived from 2 fields (Both of which are currencies) The formula would read (ARV *.65) - (Estimated Repairs) "ARV" and "Estimated Repairs" are the names of my custom fields. Alphabetical Choices (A-Z)
In the Accounts and Contact window the alphabetical choices (A-Z) are at the bottom of the list causing the user to have to scroll down before accessing this search option. Since I use that option consistently, it would handy to have the alphabetical choices (A-Z) at the top of the page.
How can I downgrade contacts to a defunct category without deleting them?
Hey everyone~ I was just wondering if there is a way to downgrade contacts to another category once they are no longer pertinent so that I retain their information but do not have them cluttering my list of active contacts. So far, I have just been copying the person's name and contact info onto an outside spreadsheet and then deleting the person from the CRM. It seems there must be a better way to manage this process. Can anyone help me?
Upload leads - immediate error message
Hi I have 160 leads in CVS format I wish to upload. I cannot even select the file. Can you help? This is what happens: I got to - Import leads > Browse It opens a file menu - Windows (C) - windows - sytem32 As soon as that opens, an error message comes up - "c:\users\Arlo\desktop is not acccesible - the directory name is invalid" I tried to click through it 'ok'. The error message disappears, the file menu stays open. I try to go into the correct location to find my CSV file - it shows nothing,
How long to rollbacks take?
I've initiated a rollback on some imported data from a few days ago. There are 473 records (contacts) imported that I'm rolling back. The status reads "Rollback in Progress" and has for the past 15 minutes. Is the rollback process time consuming? How long should I expect the process to take? Screenshot attached. Lose attached emails when convert a lead to an Account
I am able to attach my emails outlook 2010 to Zoho with the plug-in successfully. However, when I transfer a Lead to an Account the emails are gone as well as the email tab. Any ideas?
How to rename Quote-PDF
Whenever I export an Quote / Estimate, the Name of the QUote is like this: "Quotes_1370079554403.pdf" I dont want to use the zohogenerated quotes-number. Too long... So i delete this and replaced with an new custum autonumber field. Now my Quotes have a number like "A-12344". Perfect! BUT - when exporting, the zohogenerated Number is shown in PDF-Name: "Quotes_1370079554403"... How to change? Or is this really! not possible? I want to use the Name of the Quote like: A-12344. Or - much better- "Custumername_Angebot_A12344.pdf"
lookups
I thought i had this working but it appears not. In cases i want to look up a contact and see what type of warranty (custom field) they have and then show this in the case view I used a lookup but instead of showing the warranty it shows the contact. Any ideas please I am determined to make zoho work for us.
Problems with related lists
Hello, I'm running into a problem with Accounts, Products and Sales Orders with related lists. For example, when looking at an Account Record, at the bottom of the page I have "Accounts" 2 times as a related list. However, when I click on "New" in the second Account list it opens the Add New PRODUCT window. I do want Products to be able to be associated with accounts, but why does it have Accounts as the label? Also, my Sales Order field has the same issue. There is also a Sales Order related
Rename field names
We have renamed default 'Accounts' tab to 'Resort Partners' in zoho CRM. but I am unable to edit existing field names in the Resort Partners section. is there anyway we can rename field names of default modules?

Hello. I use web-to-lead forms extensively. With the web-to-lead notifications, I get the information, but to look at the lead, I have to go into crm-> lead-> find the lead, etc. Couldn't the lead email include a link to click directly to the crm lead?
adding to the convert option
Can I custom the quote screen to convert from quote to case automatically wtih all my customized fields etc?? I see that it only gives you an option to convert to sales order or invoice on the quote screen? I wanted to add a function to convert from quote to case which I have customized the case to fit our company needs. any help would be appreciated.
Converting leads combines First and Last name into one field - How do I stop this?
Hi, When a customer submits their details on our site we take their first name and last name. This is then listed as First name and Last name in the Lead. However when we convert a lead to a potential or contact it's combining the names into one field. How do I stop this happening? Cheers, Mark
