My Space Tab in Zoho People

What is My Space tab?

My space is an exclusive space that revolves around the employee, the user who is currently accessing Zoho People. This space has access to reminders, approvals, and all of the important data that the employee would need to act on. Crucial actions such as editing profile and changing personal settings are also accomplished from here. The data displayed in the Actions List can dynamically vary with smart prompts as you use the product. 

Features of My Space tab:

  1. A quick glance of what needs your attention such as approval requests and reminders - Activities. Learn more about activities and the employees perspective of the Home Tab.      
  1. HR Process related updates, Work Anniversary updates: 
      
  1. View and participate in current surveys. Learn more about Employee Engagement.
      
  1. View your total Loss of Pay (LOP) Summary details here. Click on View Details to see a detailed breakdown of unpaid and paid leave days.




  2. Check in / out, view your hours clocked, and your reportees:
     
  1. Stay informed on the important updates in your organization, view and post announcements with the Feeds tab.
       
  1. View and edit your profile from the Profile tab. You can also adjust and set permissions to your personal settings by clicking the ellipsis icon.

  1. Approve or reject requests from the Approvals tab, Timesheet-related approvals are handled in corresponding tabs, and any approval requiring urgent action will be listed in the Actions List.
     
  1. Apply leave or view your available leave (time-off) balance from the Leave tab.
     
  1. Use the Attendance tab to see your shift information and request a shift change if required by clicking on Change Shift.
     
  1. Use the Timesheets & Time Logs tab to approve timesheet requests, view timesheets and timelogs, and start a time log manually using the Start Timer option.
     
  1. The Jobs tab lets you see the active jobs for that particular week. You can click on the status icon to mark a specific job as complete too.
     
  1. The Files tab lets you quickly access your personal uploads and files shared by other employees to you.
     
  1. The Career History tab includes a time-line of your career progress in your current company, the total experience, and your date of joining information:
      
  1. The Cases tab lets you follow up on open cases ( a query management feature of Zoho People). You can choose a category and raise a new case if required.
     
  1. The HR Process tab lets you raise requests for department, location, and role change and track the same too. Learn more about HR Process.
      
  1. The Goals tab can be used to check on your current goals and add new goals. 
     
  1. The Feedback tab lets you view received feedback. To share feedback on another employee, you can navigate to their profile (using the search bar on top) and click on View Profile > Feedback.

 allows you to enable or disable the tabs that are displayed. 

Dashboard 

Dashboard sports a collection of insightful widgets. By default, users are allowed to rearrange and enable / disable these widgets.



Use the Customize Widgets option to rearrange or enable / disable widgets. The Org Widgets (only visible to administrator) tab additionally allows administrators to enforce a specific set of widgets to the entire organization. 

Calendar

The Calendar tab sports a monthly attendance calendar, you can cycle across the months using the directional arrows on top. Holidays and absence data are also depicted here. Additionally, you can click on a specific date to see the first check-in and check-out times for a particular day.



From any tab or page in Zoho People, you can quickly navigate to Settings (), Operations (), Reports () using the corresponding icons. Access the latest notifications by clicking the bell icon (). You can use the search bar () to search and navigate to any user profile or chat with anyone using the chat bar below. By clicking on your profile icon, it opens up with additional actions and links. 

Delegations

Delegation enables seamless approval reassignment between employees for designated time periods, ensuring efficient workflow management. This is particularly important when managers need to travel and might be away from a computer for a certain time frame.


Adding a delegation

  1. Go to Home My Space > Delegation > Add Delegation
  2. Under Delegator, select the person who is going to delegate the approvals.
  3. Under Delegatee, select the person to whom the approvals are going to be delegated.
  4. Under Type, select either Temporary or Permanent. If you select Temporary, select the Date Range applicable.
  5. Under Notification, choose either Delegator and Delegatee or Delegatee. If Delegator and Delegatee is chosen, all approval messages will be sent to both Delegator and Delegatee. If Delegatee is chosen, all approval messages will not be sent to the Delegator.
  6. Under Description, information regarding the approvals can be mentioned.
  7. Click Save.
