Qualified Electronic Signatures via InfoCert for EU

Available only in Enterprise edition and in EU data center

InfoCert is a Qualified Trust Service Provider (QTSP), and is also one of the trusted identity verification services in the European Union. InfoCert allows signers to sign documents through Qualified Electronic Signature (QES), which meets the standards set by the eIDAS regulation 910/2014. Documents signed using them are legally valid.

Note:
  1. This can be used only by users that have been associated with the integration by the administrator of the Zoho Sign organization.
  2. All associated users must have successfully configured this integration by registering with InfoCert, obtaining their QES, and entering the credentials to access their certificate in Zoho Sign.
  3. This integration will not work for external signers outside a Zoho Sign organization.
  4. This integration incurs additional cost, as it's offered through a third-party provider. This cost is incurred by consuming Zoho Sign credits whenever a license is activated for an associated user in your Zoho Sign organization, and whenever a signing activity takes place using the QES offered by InfoCert.
  5. For every associated user, activation of a license consumes 500 Zoho Sign credits for every three years. Upon removal of the user, re-association and re-activation will once again consume 500 Zoho Sign credits.Each document signing activity by a user that has obtained QES from InfoCert will consume 3 Zoho Sign credits.
The integration can be split into three parts;
  1. Enabling QES from InfoCert
  2. User configuration to use QES from InfoCert
  3. Signing documents with QES from InfoCert

Enabling QES from InfoCert:

This action can only be performed by administrators. If you're an administrator, follow these steps:
  1. From the left navigation pane, click Settings > Integrations.





  2. After enabling the service, click Manage User > Associate User to associate users.


  3. Once a user has been associated, a confirmation pop-up is displayed alerting you to the credits that will be deducted from your Zoho Sign account.


  4. Click Confirm.

User configuration to use QES from InfoCert


After a user has been associated with the InfoCert integration, the user must register with InfoCert and enter the details of their account in Zoho Sign to access their QES.
To do so:
  1. From the left navigation pane, click Settings > Integrations.


  2. Under QES from InfoCert, click Configure.
  3. Click here on the message displayed at the bottom of the screen to initiate the registration process with InfoCert.


  4. Enter your First name, Last name, and Email, then click Proceed to be redirected to the InfoCert website and complete the registration process.


  5. You will be taken to a website where you will be asked to enter your details.


  6. Upon successful registration, this is what your screen will look like:


After the registration has been successfully completed, the credentials (PIN) to access the QES issued to you by InfoCert and you must remember the PIN. Other details such as your Domain, Alias, and Signer ID will be automatically fetched by Zoho Sign. Enter the PIN to finish configuring the use of QES from InfoCert.

Signing documents with QES from InfoCert




  1. When users are signing documents, they can find the option to Sign via InfoCert from the drop-down menu at the top-right of the document signing page.


  2. If the user has entered their PIN for InfoCert in Zoho Sign when configuring the integration, they would then just have to enter a One-Time Password (OTP) sent to their mobile number registered with InfoCert to complete signing the document.


  3. If the user has not entered their PIN for InfoCert in Zoho Sign when configuring the integration, they would then have to enter both their PIN, as well as an OTP sent to their mobile number registered with InfoCert to complete signing the document.



Checking InfoCert signed documents:

Please find the attached sample document and completion certificate at the bottom of this page.
  1. Open the signature properties of the signed document.



  2. Click Show Signer's Certificate.


  3. The Certificate Viewer will open, where the certificate details can be found.


  4. Another way to check the document for digitally signed using InfoCert, is by checking the Signed using section in the downloaded completion certificate.
