Tip: #12 Publish fillable documents, and let your colleagues or clients take out personalized copies on the go.

Last week we spoke in detail about how you can use Fillable Fields to collaboratively fill documents with your colleagues or clients. This week we're going to talk about how the same fillable document template can be published so that others can fill them up and take-out personalized copies of it without affecting the master document.


 
Consider the following scenario:
 
You're an HR and you have interviews lined up for new hires over the next few weeks. You're supposed to send each candidate a form which they have to fill out and bring to the interview. How exactly would you achieve this? 
 
Traditionally, you would either individually mail the form or send the form via post to each candidate. It's a pretty time-consuming process (that sometimes by the time candidates receive the form and fill them up, the interview dates would probably be over!)
 
Here's how you can avoid this hassle and establish a process to send these forms to all the candidates easily:
 
1. Open the fillable document template.


 

2. Go to  More Options  (☰)  > Automate > Publish fillable documents.


 

3. You can either choose to publish the document to users within your organization (Click  Within Organization  for this) or to anyone on the web (Click  Publish to the web for this). In this scenario, since the candidates are not part of the organization yet, select  Publish on the web (which means that anyone who has access to the document link can open it).


 

4. If you wish to add more fillable fields into the document before publishing it, click on the  Fillable Fields or  Signer Fields links.(Click here to learn more about inserting fillable fields)


 

5. After choosing where to publish the document to, click on  Publish.  


 

6. The link of the published document will be shown under  Published URL . Share this link with the candidates and they will be able to access the fillable document. You can unpublish the document anytime by clicking on the  Unpublish button. 


 

7. Writer only recognizes the Fillable Fields as editable fields and protects the rest of the document from edits. 
 
This way all that the candidates have to do is fill the document and download it by clicking the Download as PDF button on the top right corner. This will give them a personalized copy of the document that they can print and bring to the interview—all without affecting the master document.
