An update to improve email delivery | Email Authentication & Relay

Update Rollout

Latest Update: Enterprise users (8th July, 2025)

This update is now live for Enterprise plan users in all regions. This includes People Plus, but not Zoho One, which will be covered in an upcoming update.

Professional users (31st May 2025)

Update was made live for Professional plan users in all regions.

Standard users - US DC (26th May, 2025)

Update was made live for Standard plan users in the USA region.

Standard users - Except US DC (5th May, 2025)

Update was made live for Standard plan users from all regions except the USA.

For Trial Users (signed up on or after April 8, 2025)

If your email-sending domain is not authenticated, all emails will be sent from Zoho Recruit's authenticated domains by default. This update was made live across all data centers. Once you authenticate your domain, emails will automatically be sent from your own email address.

For Free Plan Users

All emails will be sent from Zoho Recruit’s authenticated domains. This update is active across all data centers. To send emails from your own domain, you’ll need to upgrade to a paid plan and complete email authentication.

We hope this message finds you well. This post is to inform you about an important update regarding the authentication of all email domains in your Zoho Recruit account.

Effective 31st March 2025, emails sent using email addresses with unauthenticated email domains will be delivered via our internal relay servers.

What does this mean?

After 31st March 2025, if an email is sent using an email address with a unauthenticated email domain, instead of being sent to the recipient(s) via your email provider's servers, it will be rerouted through ZeptoMail. See the image below for a visual representation of this change.


What is ZeptoMail?

ZeptoMail is Zoho's transactional email service that automates the sending of key emails to users like password resets, welcome emails, and invoices. See More

How will change affect me?

When an email is sent through our relay servers (ZeptoMail), the following changes will apply;

From & Reply-To addresses

We are now requiring domain authentication for all email-sending domains. If users have been sending emails from non-authenticated addresses, their email addresses will be automatically reformatted unless their domains are authenticated.

For example, if a user sends an email from sales@zylker.com while the zylker.com domain has not been authenticated, recipients will see sales.zylker.com@viazohorecruit.com as the From address. This will also become the default Reply-To address, but you will still receive all email replies in your inbox.

This mandate enhances Zoho Recruit's sender reputation and ensures compliance with industry standards. Since Zoho Recruit operates on a shared email-sending infrastructure, it’s crucial to protect customers with authenticated domains from the risks posed by non-authenticated senders.

To avoid disruptions to your existing emails, workflows, and business communications, please ensure all domains used for sending emails from your Zoho Recruit account are authenticated.

Email Tracking

Due to the email being sent via our Relay Servers, it will not be shown in your email inbox. You can see the sent email only from the Related List section of the record in Zoho Recruit. This may affect any email configurations made in your account, say filters added in your email inbox configured using IMAP. 

What you can do

To avoid facing the above-stated issues, follow the 2-step process detailed below.

STEP #1: Authenticate your email domains 

Authenticating your domain is a one-time action and will likely take you or your organization's IT team a few minutes to finish. Go to Setup > General > Email Settings > Email Authentication to add your email domain(s) and authenticate them. Visit Help Center

STEP #2: Set Up Email Relay

Email Relay allows you to route emails through our (ZeptoMail's) server while sending emails from Zoho Recruit. Once the relay server is setup, any emails you send will follow a path like this: Zoho Recruit → Relay server → Recipient. Go to Setup > General > Email Settings > Email Relay and add your server details. Visit Help Center
