Automate Birthday and Anniversary wishes for your customers

Want to automate the process of sending birthday or anniversary wishes to your leads or contacts?

You can do this in a jiffy using Date-based Workflow Rules.

Workflow rules can be triggered based on:

  • Record Action - Create, Edit, Create or Edit, Delete, and Field Update
  • Date - Date, DateTime occurence
To automate this use case, you can create a Workflow Rule and trigger it based on a Date field, in this case, the Birthday/Anniversary field. Here is a GIF image to take you through the steps to send automatic emails to customers on their birthdays and anniversaries:





If you want to read through the steps in detail, here they are:
  1. Go to Setup - Automation - Workflow Automation.
  2. Click Create Rule and choose Leads/Contacts from module list. Workflow rules are specific to a module they are created for.
  3. Specify a rule name and click Next.
  4. Choose ’On a Date/DateTime’ under the ‘When’ section and select the birthday date field from the dropdown.
  5. Select the values for Date of Execution, Time of Execution, and Execution Cycle. In this case, the Execution Cycle should be ‘Yearly’.
  6. Specify criteria to filter the records you want to send the wish to by providing a Criteria. If you want to send the wish to all your customers, so you can choose ‘All Records’ in the ‘Which Records’ section.
  7. Click Instant Actions and select Send Email. In the Send Alerts dialog box, select the desired email template.
  8. If you want to add other recipients, specify them under Recipients section.
  9. Click Save.

Now, your workflow rule will run through your list of leads/contacts everyday and send a wish. For more information on Workflows, please refer our help resource.
