We want to streamline our CRM sales information with our project management database (to be created in Creator). 1. We need to be able to create a client estimate template inside the CRM. This will include several fields that need to be filled by us and some that need automated calculation based on this information. Some fields need to be open so we can write/change different client requests. Once the estimate is done, we need to export to a PDF/Word format to deliver it to the client. Or, if possible, print in PDF inside the CRM and email from inside the CRM. 2. Once the estimate is accepted by our client, we need to either convert it from lead to a contact/account and keep it on record or if it is already an contact/account just keep it attached the the account information. (At all stages we need to be able to modify the estimate). 3. The approved estimate then becomes a Work Order that automatically gets pushed to Creator (Project management database, or PMD). 4. The PMD must have several fields. The main view should have these fields - Project number, generated sequentially when a new project is assigned. - Due date - Account (to be selected and retrieved from Accounts in the CRM) - Contact (to be selected and retrieved from Accounts/Contacts in the CRM) - Email and phone numbers (to be automatically retrieved from Contacts in the CRM) - Language (pull-down menu with 20 options) - Translator (to be selected and retrieved from Translator Database/language/translator (see below)). We also need to create this database. - Project Manager (pull down menu with 3 names) The complete view should also include these fields, in addition to the above. - Start Date (to be selected in calendar) - Delivery Date (to be selected in calendar) - Status (Canceled, In process, To Invoice, Pend. Payment, Pend. Approval, Invoiced) - Client requests (a text field to enter information) - All the information posted from the Work Order (which can be editable and we might add a few fields to follow-up) We should be able to create views based on the Status. We should be able to search in all fields. Translator database: We need a database with personal information to identify translators, including all the usual (name, address..country, contact information) plus the languages they work with. Once the project is closed, we would like to convert the work order into an invoice (again, with the capability of modifying it) In a few words - estimate converts to Work Order gete exported to the Invoice module.
